Position Overview

We are seeking a friendly, highly organized, and dependable Customer Service Representative to serve as the first point of contact for clients and to provide essential administrative and operational support. This position plays a critical role in maintaining clear communication, accurate event documentation, and a positive client experience from initial inquiry through event execution. The ideal candidate thrives in a fast-paced environment, demonstrates strong organizational discipline, and consistently represents the company with professionalism and care.

Key Responsibilities Client & Administrative Support

• Greet clients warmly and professionally, creating a positive and welcoming first impression of the company

• Answer incoming phone calls and respond to general inquiries, gathering accurate and detailed information regarding client needs

• Take clear, thorough messages and distribute information promptly to appropriate team members

• Prepare and send professional email correspondence to clients, vendors, and internal staff

• Create, maintain, and organize digital and physical files for new and existing events

• Ensure all event documentation is complete, accurate, and properly filed

• Provide regular updates to the team regarding event files, timelines, and current statuses

• Conduct weekly file audits to confirm documentation accuracy, organization, and accessibility
• Escalate client concerns or time-sensitive matters as needed

Event & Operational Support

• Provide operational support to other departments when required

• Adapt quickly to the dynamic needs of event-day operations

• Support additional operational and administrative tasks as assigned to ensure overall team success

• Assist with order-related tasks and short-term operational needs during high-volume periods

• Adjust priorities as needed to balance administrative responsibilities with evolving operational demands

Qualifications

• Strong organizational skills with a high level of attention to detail

• Professional, friendly, and effective communication skills (both written and verbal)

• Ability to multitask and manage competing priorities in a fast-paced environment

• Reliable, team-oriented mindset with a willingness to assist across departments

• Flexibility to work occasional evenings and weekends as required for event support

• Proficiency in standard office software, including email, word processing, and spreadsheets

Work Environment & Attire

• This role requires flexibility during peak seasons, including occasional operational or order-related support outside of standard Customer Service and administrative duties

• Business casual attire is required while representing the company in-office, with clients, and during event-related activities
