We are seeking an energetic, organized, and patient-focused Medical Front Desk Receptionist to join our team. This position is ideal for someone who thrives in a busy healthcare setting, enjoys interacting with patients, and can effectively manage multiple responsibilities while maintaining exceptional patient service.
Position Summary
The Medical Front Desk Receptionist serves as the first point of contact for patients and visitors and plays a vital role in creating a positive patient experience. This individual will be responsible for a variety of front office functions including patient registration, scheduling, insurance verification, phone management, scanning documents, and coordinating patient flow.
The ideal candidate is highly organized, able to multitask efficiently, and comfortable working in a high-volume vascular surgical center with multiple providers and locations.
Key Responsibilities
Patient Reception & Customer Service
· Greet patients, visitors, and vendors in a professional and courteous manner.
· Provide exceptional customer service while creating a welcoming environment.
· Answer and direct high volumes of incoming phone calls promptly and professionally.
· Assist patients with questions regarding appointments, paperwork, insurance, and office policies.
· Manage patient check-in and check-out processes efficiently.
Registration & Scheduling
· Verify and update patient demographics, insurance information, and medical history.
· Schedule, reschedule, and confirm appointments for office visits, vascular studies, and procedures.
· Coordinate provider schedules and optimize appointment availability.
· Maintain appointment reminders and manage no-show or cancellation lists.
· Assist with referral intake and authorizations as needed.
Insurance & Financial Responsibilities
· Verify insurance eligibility and benefits.
· Obtain referrals and prior authorizations when applicable.
· Collect copayments, deductibles, and outstanding balances.
· Process payments and maintain accurate financial records.
· Explain insurance and billing information to patients professionally and confidentially.
Administrative & Front Office Support
· Scan and upload patient documents into the EMR.
· Maintain and organize medical records and front office files.
· Process incoming faxes and correspondence.
· Prepare daily schedules and provider paperwork.
· Monitor office supplies and coordinate ordering as needed.
· Support additional front office assignments as delegated by management.
Multi-Tasking & Cross-Functional Responsibilities
This position requires the ability to perform multiple front desk assignments simultaneously, including:
· Patient check-in and check-out
· Multi-line telephone management
· Scheduling for multiple providers and locations
· Insurance verification and benefit investigation
· Scanning and indexing documents into the EMR
· Managing referral requests and incoming medical records
· Assisting with procedure scheduling and pre-operative documentation
· Supporting front office coverage at other clinic locations when needed
Team Collaboration
· Collaborate closely with physicians, nurse practitioners, medical assistants, ultrasound technologists, and administrative staff.
· Maintain effective communication to ensure smooth patient flow and operational efficiency.
· Participate in team meetings and ongoing training initiatives.
· Contribute to a positive and supportive workplace culture.
Qualifications
Required
· High school diploma or GED required.
· Minimum of 2 years of medical front desk or medical receptionist experience .
· Experience in a high-volume medical office or specialty practice.
· Strong computer skills and proficiency with Microsoft Office applications.
· Excellent verbal and written communication skills.
· Strong organizational skills and attention to detail.
· Ability to multitask and prioritize competing responsibilities.
· Professional demeanor and excellent customer service skills.
Preferred
· Experience in vascular surgery, cardiology, surgery, or specialty medical practices.
· Experience with Athena EMR or similar electronic medical records systems.
· Knowledge of medical terminology and insurance verification processes.
· Experience obtaining referrals and prior authorizations.
· Bilingual candidates are encouraged to apply.
Physical Requirements
· Ability to sit or stand for extended periods.
· Ability to lift up to 20 pounds occasionally.
· Ability to move throughout the office and assist patients as needed.
· Ability to work efficiently in a fast-paced environment with frequent interruptions.
