About the Role

We are seeking an experienced Senior Litigation & Corporate Paralegal to support the General Counsel and Office of General Counsel across a broad range of litigation, arbitration, insurance claims, and corporate entity management matters.

This is a high-impact role for a detail-oriented legal professional who can independently manage complex, document-intensive matters across multiple state and federal jurisdictions while coordinating effectively with internal stakeholders, insurance carriers, brokers, adjusters, and outside counsel.

The successful candidate will serve as a key operational partner to the General Counsel, managing deadlines, maintaining compliance, overseeing legal workflows, and ensuring matters are appropriately handled, prioritized, and escalated. This position also provides oversight of a Legal Assistant and plays an important role in maintaining the organization's multi-state entity portfolio.

This is a hybrid position based at the organization's headquarters in Gilbert, Arizona, with a minimum of two days per week in the office.

Key Responsibilities

Litigation & Arbitration Management

Support litigation and arbitration proceedings across multiple state and federal jurisdictions and arbitral forums, including the American Arbitration Association (AAA).

Coordinate pleadings, discovery, legal holds, document collection and production, motion practice, and hearing and trial preparation.

Track jurisdiction-specific procedural rules, local rules, filing requirements, and e-filing systems.

Maintain comprehensive litigation calendars and ensure all filing, discovery, response, and hearing deadlines are met.

Manage document-intensive matters, including privilege reviews, privilege logs, subpoenas, and related objections.

Insurance Claims & Coverage Coordination

Manage insurance-related aspects of claims and litigation, including claim tenders and notices to insurance carriers.

Track reservation-of-rights letters, coverage correspondence, policy information, and certificates of insurance.

Coordinate with brokers, adjusters, insurance carriers, and coverage and defense counsel.

Maintain accurate insurance records and support effective communication among the organization and its insurance partners.

Corporate Entity Management & Compliance

Manage the organization's multi-state entity portfolio, including formations, foreign qualifications, annual reports, and registered agent requirements.

Oversee service-of-process matters and maintain ownership, officer, and member records.

Prepare and maintain resolutions, written consents, minute books, and certificates of good standing.

Monitor state filing obligations and ensure ongoing entity compliance.

Legal Operations & Team Oversight

Supervise and regularly audit the work of a Legal Assistant to ensure accurate document management, file organization, and deadline calendaring.

Conduct legal research and prepare memoranda with appropriate legal citations for attorney review.

Track matter status, budgets, invoices, and compliance obligations using spreadsheets and other legal technology.

Serve as the primary intake and triage point for matters directed to the Office of General Counsel, resolving appropriate matters at the paralegal level and escalating issues requiring attorney attention.

Assist the General Counsel with administrative and operational responsibilities, including Arizona State Bar and CLE tracking and travel coordination.

Required Qualifications

Paralegal certification required.

At least three to five years of paralegal experience supporting litigation and/or arbitration across multiple state and federal jurisdictions, in a law firm or corporate legal department.

Demonstrated experience managing insurance claims, coverage matters, and communications with insurance carriers.

Experience managing corporate entities and compliance requirements across multiple states.

Strong knowledge of state and federal civil procedure, local court rules, arbitration procedures, and filing requirements.

Proficiency with Microsoft Office, including advanced Excel skills for tracking matters, claims, deadlines, budgets, and compliance.

Experience with document management systems such as Clio and court e-filing platforms, including PACER and CM/ECF.

Strong legal research, writing, document analysis, and organizational skills.

Ability to manage competing priorities, exercise sound judgment, work independently, and maintain accuracy under tight deadlines.

Preferred Experience & Expertise

Background in insurance defense, insurance coverage, or in-house risk management.

Familiarity with commercial general liability, automobile, professional liability, and umbrella/excess insurance policies.

Experience with legal holds, large-scale document productions, privilege review, and subpoena response.

Familiarity with Secretary of State portals and entity management systems.

Experience coordinating outside counsel, monitoring legal spend, and improving legal department workflows.
