Business Systems Coordinator

POSITION OBJECTIVE

The Business Systems Coordinator I serves as a business systems support resource and liaison between business users, system developers, and management, helping to support and improve the division's business systems and processes under the general guidance of senior team members or management. This position supports the division's monthly management reporting, including P&L and other key business reports, and works with Sales, Supply Chain, Accounting, and developers to help identify system issues, support the translation of business requirements into system changes, coordinate testing, and support workflow improvements — including assisting with the ongoing initiative to integrate the FGS Portal with Odoo.

The ideal candidate is detail-oriented, analytical, and organized, developing the ability to understand both business processes and system functionality while building experience coordinating between business users and technical resources.

Success in this position means developing into a reliable support resource and growing bridge between the business and technology teams — building a working understanding of how the business operates and how company systems support those processes, and developing the ability to identify issues and coordinate practical solutions with increasing independence over time.

MAJOR AREAS OF ACCOUNTABILITY

1. Business Reporting & Analysis
   • Assist in preparing and maintaining the division's monthly management reports, including P&L and other financial and operational reports.
   • Collect and validate data from multiple business systems, and help resolve discrepancies with Accounting and business teams.
   • Support management with ad hoc reporting and data analysis as needed.
2. Business Systems Knowledge & Support
   • Develop working knowledge of the division's key business systems, including Odoo ERP, the legacy AS400 system, the FGS Portal/Azure-based applications, and related databases and integrations.
   • Provide first-level support for system-related questions, escalating complex issues to senior staff or developers as needed.
   • Help maintain documentation of system processes, requirements, workflows, and changes.
3. Process Improvement & System Integration
   • Support process improvement efforts by helping identify opportunities and gather system requirements under the guidance of senior team members.
   • Participate in process mapping and workflow design discussions.
   • Assist with the FGS Portal/Odoo integration initiative by helping document data flows and identify inconsistencies between systems.
4. Testing & Implementation Support
   • Participate in system testing and user acceptance testing (UAT), helping develop test scenarios and coordinate testing with affected users.
   • Document testing results and communicate outstanding issues to developers or senior staff.
   • Support users during implementation of new functionality, including basic training and documentation of procedures.
5. Cross-Functional Coordination
   • Help coordinate system-related requests and communicate status and issues to appropriate stakeholders.
   • Work with Sales, Supply Chain, and Accounting, under guidance, to help resolve system-related issues.
   • Support communication between departments on system changes affecting multiple business processes.
   • Perform other duties as assigned by management.

QUALIFICATIONS

Education (Minimal Education Needed)

• Bachelor's degree in Business Administration, Information Systems, Accounting, Finance, Data Analytics, or a related field.

Previous Related Experience Required

• 1~3 years of experience in business analysis, business systems, ERP, reporting, data analysis, or a related field.
• Preferred
• • Experience with ERP systems, particularly Odoo or similar platforms, as well as legacy ERP systems such as AS400, including running queries to pull data.
  • Experience with SQL, relational databases, or data analysis.
  • Experience working with software developers or IT teams.
