Scheduler Position at Mennonite Village

Mennonite Village is seeking an organized, customer-focused Scheduler to support staffing operations across our senior living community. This role is responsible for creating and maintaining employee schedules, coordinating shift coverage, communicating schedule changes, and ensuring adequate staffing levels to meet resident care needs. The Scheduler also serves as a primary point of contact for visitors, residents, vendors, and staff, providing professional reception and administrative support.

What You'll Do

• Create, maintain, and distribute staff schedules using scheduling software and Paylocity.
• Coordinate shift coverage, open shifts, on-call staffing, and schedule adjustments.
• Monitor staffing needs and communicate scheduling updates with department leadership.
• Ensure schedules align with approved staffing levels and resident care requirements.
• Maintain accurate scheduling records and documentation.
• Assist with reception desk duties as needed.
• Post written schedules as required and attend meetings affecting scheduling.
• Establish a culture of compliance by adhering to all policies and procedures.
• Report policy, procedure, regulation, or confidentiality violations to the appropriate personnel.
• Report occupational exposures to biological hazards or hazardous chemicals promptly.
• Report work-related injuries and illnesses immediately to designated staff member.
• Participate in life safety initiatives, emergency drills, and efforts related to emergency preparedness and response.
• Follow established infection control policies and procedures.
• Assist with general administrative and communication support for residents and staff.

Requirements

Qualifications

• High school diploma or equivalent required.
• Previous scheduling experience with both census and acuity-based department needs; senior living or healthcare experience preferred.
• Experience with Paylocity scheduling software preferred.
• Strong computer skills and ability to learn new systems quickly.
• Excellent verbal and written communication skills.
• Strong organizational skills with a high degree of accuracy and attention to detail.
• Ability to maintain confidentiality and exercise professional discretion.
• Ability to work independently while collaborating effectively with multiple departments.

Physical Requirements

• Ability to sit and/or stand for extended periods throughout the workday.
• Frequent use of hands and fingers for computer, telephone, and office equipment operation.
• Ability to walk throughout the facility as needed during the workday.
• Occasional lifting, carrying, pushing, or pulling up to 20 pounds.
• Ability to read computer screens, schedules, reports, and other documents.
• Ability to respond appropriately during emergency situations, including assisting with resident evacuation when necessary.
