What you will have an opportunity to do:

We are looking for a highly motivated Banquet Supervisor to join our team! This individual will help to direct the set up and preparation of banquet rooms for banquet functions serve and bus tables as well as clear and tear down banquet rooms at the end of the function. Reporting to the Banquet Manager this individual will lead the performance of all hourly banquet food and beverage servers and houseman and is the personal representative of the property to banquet guests. They will coordinate all aspects of the room set-up and food and beverage service enhance guest satisfaction and maximize revenues.

Your role:

The Conference Services Supervisor is responsible for the daily oversight of the Conference Department including monitoring email and mailbox communications throughout each shift checking in with in-house groups and internal teams and maintaining accurate coordination sheets communication boards and daily work lists. This is a working supervisor role that actively supports and works side by side with Conference Services staff in the setup execution and breakdown of meeting rooms and function areas both indoors and outdoors. The Conference Services Supervisor ensures all events are delivered accurately safely and in accordance with resort standards while maintaining clear communication accurate documentation and a high level of guest and employee satisfaction.

ESSENTIAL FUNCTIONS OF THE POSITION

• Perform all duties in a professional manner and in accordance with resort policies procedures and safety standards.
• Maintain flexibility to work varied schedules including evenings weekends and holidays based on business demands.
• Follow and enforce all safety procedures to ensure a safe working environment for guests and staff.
• Provide daily supervision leadership and direction to Conference Services Attendants and Conference Aides.
• Work side by side with staff daily on the setup execution and breakdown of all meeting rooms and function areas.
• Supervise and assist with room setups to ensure all spaces are set on time in proper order and according to event specifications resort standards and Benchmark Minimum Standards.
• Perform all duties of Conference Services staff as operational needs require.
• Respond promptly and professionally to guest requests in conference and function areas and communicate needs to the appropriate department.
• Maintain the highest level of guest and employee relations at all times.
• Keep the Assistant Director of Conference Services informed of all guest concerns employee issues and operational challenges.
• Delegate daily tasks and assignments to Conference Services staff and provide ongoing coaching and support.
• Complete employee communications and disciplinary documentation in accordance with resort policy.
• Maintain positive and professional working relationships with all resort departments to support seamless event execution.
• Ensure conference rooms are guest-ready prior to event start times including proper setup cleanliness icing watering and vacuuming as required.
• Inspect conference equipment daily for cleanliness defects and maintenance needs; perform minor repairs using hand and cordless tools as appropriate.
• Oversee routine equipment maintenance including spot cleaning banquet chairs repairing table chips and checking fittings on chairs and tables.
• Ensure all conference equipment and supplies are properly stored organized and returned to designated storage areas at the end of each shift.
• Maintain clean safe and unobtrusive storage areas in accordance with safety and housekeeping standards.
• Maintain accurate daily conference paperwork including setup changes room diagrams equipment counts and event updates.
• Complete and update the weekly conference grid after reviewing CEO packets and group requirements.
• Maintain and update the Conference Department communication board at least twice daily.
• Produce meeting and event signage as requested.
• Maintain accurate monthly inventory records for all conference equipment and supplies.
• Place and manage supply orders (water notepads pens pens candy and other meeting materials) based on guest usage and event needs.
• Maintain accurate cost records and tallies as assigned.
• Assist with linen transfers to and from Housekeeping and ensure proper handling and storage.
• Provide assistance in other job classifications or operational areas as determined by management.
  

What are we looking for

• Ability to lift carry push and pull conference and banquet equipment weighing approximately 5300 pounds with or without reasonable accommodation.
• Ability to lift and move conference tables (570 pounds) banquet chairs in stacked quantities risers (approximately 150 pounds) and modular dance floor sections (approximately 25 pounds each).
• Ability to push and maneuver large equipment carts weighing up to approximately 300 pounds.
• Ability to bend stoop kneel crouch reach and work at floor level for room setup breakdown equipment inspection cleaning and storage.
• Ability to stand and walk for extended periods across multiple floors and distances throughout the resort.
• Ability to perform repetitive motions and use hand and cordless tools for minor equipment maintenance and repairs.
• Ability to visually inspect equipment read room diagrams and complete required paperwork accurately.
• Ability to work in indoor and outdoor environments as required by event locations and operational needs.

EDUCATION EXPERIENCE AND SKILLS REQUIRED

Must be able to lift 70 pounds good communication and guest relation skills ability to follow directions. Availability to work variable hours.
