Purpose: To facilitate the free flow of administrative documents and information to ensure timely accurate billing of customers and payment of service and repair vendors.
Roles and Responsibilities:
- Continual interaction and follow up with service and repair vendors to ensure all required information to make payment and rebill customers is complete.
- Follow up on missing or inaccurate information and prepare invoices for rapid review and approval.
- Issue PO numbers when appropriate.
- Assist customers needing service related documents as needed,
- Ensure all required information is attached to or annotated on invoices prior processing, including but not limited to FHWA forms, call sheets, service location, trailer number and owner, maintenance deal type, etc.
- Daily review of open service order report for old open service orders and follow up and reconcile.
- Serve the customers in an extraordinary manner so that our brand name and reputation continue to flourish.
Knowledge, skills and abilities:
- 3-5 years of administrative experience.
- Demonstrated strong work ethic and integrity.
- Strong complex data entry skills and attention to detail.
- Experience and skills with MS office applications including word and excel.
- Excellent time management, organization and communications skills; oral (telephone) and written (email).
- Ability to complete multiple tasks and manage a high volume of work.
- Well organized and self-directed.
Education: High School diploma or equivalent. College degree a plus, but not required.
Physical Demands Work Environment:
- Frequently required to sit and use hands/fingers to handle, feel and to manipulate keys on a keyboard. Occasionally required to stand, walk and reach with arms and hands.
- Vision abilities required by this job include close vision.
- Typical office work environment, which is usually quiet. Required to operate a personal computer, photocopy machine, facsimile machine, calculator, telephone, etc.
