Position Summary Under the supervision of the Program Director and with guidance from the Assistant Director of Operations/Regional Facility Manager and/or Director of Operations, the Facility Manager ensures the facility is problem‑free and safe so that treatment and care can be provided under the best conditions. The Facility Manager works collaboratively with the Operations team to manage outpatient programming, oversees day‑to‑day administrative operations, and upholds company values. The Facility Manager enforces program regulations and guidelines, including HIPAA, infection control, and Joint Commission accreditation. Duties and Responsibilities Ensures programs and services are implemented at the highest standards and clients receive the highest level of care. Assures the facility is fully stocked, that needed supplies are ordered in advance, and related expenses are managed to avoid unnecessary spending. Provides weekly feedback to the Program Director and Director of Operations. Monitors and tracks refrigerator and freezer temperatures. Conducts weekly facility walk‑throughs to identify, correct, and report safety hazards and manages maintenance repairs in the facility upon approval from the Director of Operations. Performs/assigns emergency safety drills, completes weekly checklists to assure policy and administrative guidelines are met, and ensures compliance with licensing standards. Assists with accreditation and state licensing activities when requested. Maintains and schedules the upkeep of the facility vehicle with approval from the Program Director and Director of Operations. Coordinates the transportation schedule for all clients and drives clients as needed. Orders urinary analysis supplies, schedules pickups, and assists with obtaining specimens from clients as needed. Checks in visitors. Assigns cubbies and creates client orientation binders prior to admission. Oversees the client intake process, completing related paperwork, reviewing and obtaining signatures on all consents at admission; assigns additional duties to Care Coordinators as necessary. Ensures compliance with Joint Commission standards and HIPAA policies. Audits treatment records in EMR and documentation completed by staff and contractors; all documentation must be submitted within 24 hours. Prepares reports for monthly operations, quality assurance, and performance improvement meetings. Manages facility schedule to ensure all shifts and groups are covered. Onboards new staff and contractors, completes related paperwork and documentation, assists in training, and participates in staff performance reviews. Updates employee document compliance dates into ROWI systems. Maintains a complete working knowledge of the Care Coordinator and Educational Liaison positions to support staff; supervises Care Coordinators and covers their shifts when needed. Participates in ongoing departmental training and meetings when required. Upholds infection control policies and procedures at the location. Serves as a role model to treatment staff, clients, employees, and guests through a positive, caring, and professional attitude. Maintains confidentiality of clients and related activities. Complies with the dress code. Completes tasks in a timely and accurate manner. Attends designated staff and in‑service meetings. Performs any additional duties assigned by management. Maintains the environment of care, including watering live plants. Ensures external fire systems and fire extinguishers are serviced as required by ROWI policy. Basic Education and Experience Required Minimum high school diploma; bachelor’s degree preferred or minimum of 2 years managerial experience. Minimum of 2 years driving experience. Minimum of 1 year working with children in a therapeutic setting. Ability to communicate with people from all educational and cultural backgrounds. Strong verbal and written communication skills. Ability to cope constructively with stressful situations. Demonstrates tact, initiative, resourcefulness, professionalism, enthusiasm, and non‑judgemental attitude. Documents clearly and efficiently. Physical Requirements Ability to lift and carry items weighing up to 20–30 lbs. Frequent walking, standing, sitting, and bending throughout a regular work shift. Additional Requirements Valid driver’s license and eligibility for insurance with agency vehicles. Valid First‑Aid & CPR certifications and a criminal background check.
