Client Services, Billing Coordinator

What You Will Be Doing Client Service / Billing Coordinators are responsible for all client invoicing and vendor payment. The role requires strong mathematical and analytical skills for calculating markups and reporting data. Communicate with clients about invoices and with sales regarding rates. Communicate with outside vendors about payments and check tracking. Create job numbers in ProjectA for each client order. Allocate costs for each assignment across job numbers. Input client line items at negotiated rates. Process RIPS invoices for outside vendors. Field questions from clients regarding invoices. Answer questions from sales regarding ProjectA processes. Liaise with outside vendors about invoice discrepancies, payment schedules, and general inquiries. Answer office phones as needed. Document each billing assignment in master spreadsheet and other tracking documents. Complete additional tasks as assigned by the manager or supervisor. Required Skills and Qualifications Multi‑tasking capabilities. Strong organization skills throughout the day. Attention to detail. Excellent and confident communication skills, both written and oral. Ability to work well under pressure while maintaining professionalism. Occasional after‑hours email response handling. Minimum bachelor’s degree or equivalent. Desired Skills and Experience Relevant industry or office experience. Experience in a challenging/high‑demand role. Numbers/finance‑driven proficiency. Strong familiarity with Microsoft Excel reporting.
