Summary Ensures a friendly and receptive environment for guests and provides administrative functions of the sales department through accurate recording of customer traffic and production of reports with critical sales process metrics. Supervisory Responsibilities This position has no direct supervisory responsibilities. Essential Duties and Responsibilities Perform opening and closing Guest Services procedures. Answer incoming phone calls in a courteous, prompt, and professional manner. Direct phone calls and customers to the appropriate person or department. Take accurate messages. Manage the desk log, phone log, loaner agreement log, dealer plate log, and gas card log. Track and filter all incoming calls and take messages. Communicate effectively with the Guest Services Manager and greeters. Reconcile and update data entry with dealership software. Produce daily reports (Daily Update, Performance Metrics). Walk around the showroom hourly to offer refreshments to guests. Provide a warm, positive, and happy environment for guests, their children, and teammates. Provide new hire Customer Management training when requested. Maintain CSI at or above company standards. Maintain an organized, clean, and safe work area. Participate in required training. Record all hours worked accurately in the company timekeeping system. Follow safeguards rules and regulations. Demonstrate the company’s core values. Comply with company policies and procedures. Observe all federal, state, local, and company safety rules and regulations. Qualifications High School Diploma (required). Desired educational attainment: up to 3 years of experience. Previous customer service experience desired. Excellent interpersonal, communication, and organizational skills. Intermediate skills in Microsoft Office products. Ability to learn dealership management system and web‑based applications. Ability to understand and follow instructions. Ability to communicate effectively with customers and company personnel. Attendance Expectations The position requires regular and predictable attendance. Scheduled shifts may include evening hours, weekends, and holidays. Physical Demands Regularly required to talk or hear, walk, stand, sit, and use hands to finger, handle, and feel. Duties performed primarily in the showroom or outdoor sales lot. Other Requirements Write and read instructions, correspondence, and memos. Perform basic math operations (add, subtract, multiply, divide). Apply common sense understanding to carry out instructions. Deal with standardized situations.
