Job Description

The Project Manager is responsible for leading assigned projects from pre-construction services through closeout while managing project cost, schedule, contracts, documentation, communication, owner expectations, subcontractor coordination, change orders, billing, and overall project execution.

The Project Manager is also responsible for estimating assigned projects, preparing bid packages, soliciting subcontractor and vendor pricing, leveling bids, identifying scope gaps and risks, preparing proposals, and supporting project award and turnover.

Essential Duties and Responsibilities

Estimating and Preconstruction Responsibilities

·    Prepare detailed estimates, budgets, and proposals for assigned projects

·    Review plans, specifications, addenda, alternates, allowances, unit prices, bid forms, schedules, site conditions, and contract requirements to identify scope, risks, gaps, and pricing requirements.

·    Perform quantity takeoffs and organize estimate information by trade, CSI division, cost code, or company-approved estimating format.

·    Prepare bid packages and solicit subcontractor and vendor pricing, including follow-up before bid deadlines to improve trade coverage and pricing reliability.

·    Receive, review, clarify, and level subcontractor and vendor proposals; identify exclusions, overlaps, gaps, qualifications, schedule concerns, and potential cost impacts.

·    Prepare and track pre-bid RFIs, clarifications, substitutions, and addendum impacts; communicate changes to affected subcontractors, vendors, owners, design professionals, and company leadership.

·    Prepare internal bid review information including estimate summary, subcontractor bid tabs, assumptions, exclusions, allowances, alternates, value-engineering options, schedule considerations, and identified risks.

·    Prepare client proposals and budget updates that are clear, professional, accurate, and properly qualified.

·    Maintain organized estimating files, quote backup, bid tabs, scope notes, and pricing assumptions so awarded projects can be transitioned into operations efficiently.

Contract Administration and Buyout

·    Prepare, issue, and manage owner contracts, subcontracts, purchase orders, change orders, contract exhibits, scope attachments, and related project documents as assigned.

·    Develop and maintain the project buyout plan, verify scope alignment, identify gaps or overlaps, and coordinate with accounting and operations to ensure timely execution of commitments.

·    Review subcontractor and vendor scopes before award to confirm pricing, inclusions, exclusions, alternates, unit prices, insurance requirements, schedule obligations, and contract terms are aligned with project requirements.

·    Maintain current contract, subcontract, purchase order, insurance, and commitment records in company project files and software systems.

Schedule, Procurement, and Project Controls

·    Work with the superintendent to develop, update, and manage the project schedule, including procurement dates, submittal deadlines, long-lead items, owner decisions, inspections, subcontractor sequencing, and milestone dates.

·    Monitor schedule progress and communicate potential delays, conflicts, missing information, owner decision needs, subcontractor performance issues, and material procurement concerns early.

·    Prepare and maintain project logs including RFIs, submittals, procurement items, purchase orders, change orders, owner decisions, meeting action items, closeout items, and other project controls as required.

·    Coordinate with subcontractors, vendors, design professionals, owners, inspectors, and internal team members to keep project information and decisions moving.

Financial Management, Billing, and Change Orders

·    Manage project budgets, commitments, cost reports, owner billings, subcontractor payments, change orders, contingency tracking, and projected cost-to-complete.

·    Review job cost reports regularly and communicate financial risks, budget concerns, pending changes, and forecast issues to company leadership in a timely manner.

·    Prepare monthly billing summaries, applications for payment, schedule of values updates, supporting documentation, and billing follow-up as required.

·    Identify, price, document, submit, negotiate, and track owner and subcontractor change orders.

·    Ensure change work is not performed without proper written direction or documented authorization unless approved by company leadership.

·    Review subcontractor/vendor change proposals for scope accuracy, pricing reasonableness, markup compliance, schedule impact, and backup documentation.

Communication, Client Relations, and Team Leadership

·    Serve as a primary point of contact for owners, architects, engineers, subcontractors, vendors, and internal team members on assigned projects.

·    Represent Anderson Construction Company professionally at pre-bid, preconstruction, owner, architect, engineer, subcontractor, construction, progress, and closeout meetings.

·    Communicate clearly and promptly regarding project status, decisions needed, cost impacts, schedule issues, unresolved concerns, and next steps.

·    Develop positive working relationships with clients, architects, engineers, subcontractors, vendors, superintendents, administrative staff, accounting staff, and company leadership.

·    Partner with the project superintendent to resolve field issues, coordinate subcontractors, manage quality expectations, address constructability concerns, and keep the owner/design team informed of impacts to cost, schedule, or scope.

·    Maintain professionalism, accountability, responsiveness, sound judgment, and a solutions-oriented attitude when managing project challenges.

Quality, Safety, and Field Coordination

·    Work closely with superintendents, subcontractors, and vendors to ensure the project scope is fulfilled on schedule, on budget, and in accordance with contract documents and company quality expectations.

·    Regularly monitor and inspect jobsite progress as needed to understand project status, support billing accuracy, identify issues early, and assist the superintendent with problem solving.

·    Collaborate with the superintendent to identify and resolve design, construction, quality, safety, sequencing, and coordination concerns.

·    Support company safety expectations by communicating safety concerns, contract requirements, site-specific rules, and owner requirements to subcontractors and vendors.

·    Troubleshoot daily project and jobsite issues in a professional, timely, and documented manner.

Documentation, Closeout, and Project Completion

·    Maintain organized project documentation including meeting minutes, RFIs, submittals, change orders, contracts, purchase orders, owner correspondence, field reports, photos, inspection records, closeout documents, and project files.

·    Prepare and distribute meeting agendas, meeting minutes, action item lists, decision logs, and project correspondence as required.

·    Manage project closeout including punch list coordination, owner training, warranties, as-builts, attic stock, O&M manuals, final inspections, lien releases, final billing, and turnover of required closeout documents.

·    Drive punch list and closeout to completion without unnecessary delay and communicate unresolved closeout issues to company leadership.

Required Skills and Qualifications

·    Minimum three years of related construction project management, estimating, field supervision, or construction administration experience preferred.

·    College degree in Building Construction, Construction Management, Engineering, or related field preferred; equivalent construction experience may be considered.

·    Strong understanding of commercial and/or residential construction processes, plan reading, specifications, scopes of work, subcontractor coordination, and project documentation.

·    Ability to estimate assigned projects, perform quantity takeoffs, review subcontractor/vendor proposals, prepare budgets, and develop detailed estimate proposals while estimating remains part of the Project Manager role.

·    Proficient in construction scheduling, project documentation, change order management, owner billing, subcontract administration, and project financial controls.

·    Strong verbal and written communication skills with owners, architects, engineers, subcontractors, vendors, coworkers, and company leadership.

·    Proficient with Microsoft Excel, Outlook, Word, PDF plan review, digital takeoff tools, and company estimating/project management software.

·    Self-motivated, organized, detail-oriented, deadline-focused, and able to manage multiple projects, priorities, and communication channels.

·    Ability to work independently and within a team environment while maintaining professionalism, sound judgment, confidentiality, and accountability.

Preferred Qualifications

·    Experience managing commercial, institutional, medical, office, retail, industrial, municipal, residential, or similar general contracting projects.

·    Experience preparing estimates, bid packages, subcontractor bid tabs, schedule of values, owner proposals, and value-engineering options.

·    Experience using Bluebeam, Procore, BuildingConnected, PlanSwift, STACK, On-Screen Takeoff, Sage, QuickBooks, Microsoft Project, Primavera, or similar construction software platforms.

·    Knowledge of local subcontractor/vendor markets, permitting processes, construction costs, regional construction practices, and Florida Panhandle construction conditions.

·    Demonstrated ability to lead projects with limited supervision and contribute value quickly in a fast-paced general contracting environment.

Performance Standards

·    Maintains accurate, organized, and current project records.

·    Issues subcontracts, purchase orders, RFIs, submittals, change orders, and project correspondence in a timely manner.

·    Prepares accurate estimates, budgets, proposals, bid tabs, and change order pricing while estimating remains part of the role.

·    Communicates project risks early and does not allow avoidable surprises related to cost, schedule, scope, documentation, quality, or owner expectations.

·    Partners effectively with the superintendent and internal team to resolve issues and keep the project moving.

·    Maintains schedule awareness and actively manages owner, design team, subcontractor, vendor, and internal decisions that affect the project.

·    Protects company financial interests through disciplined cost tracking, billing, commitment management, change order management, and cost-to-complete forecasting.

·    Prepares timely and accurate owner billings and follows up on payment-related documentation as required.

·    Maintains professional relationships with clients, architects, engineers, subcontractors, vendors, inspectors, and coworkers.

·    Drives punch list and closeout to completion without unnecessary delay.

·    Demonstrates accountability, urgency, follow-through, sound judgment, attention to detail, professionalism, and a positive team-oriented attitude.

Physical Demands

·    Ability to work occasional extended hours to meet project demands, bid deadlines, owner commitments, and construction schedules.

·    Reliable transportation and ability to drive to job sites, client meetings, pre-bid meetings, subcontractor/vendor meetings, and other project-related locations as required.

·    Ability to walk active or undeveloped project sites with uneven terrain, climb stairs and ladders when reasonably required, and observe typical jobsite safety requirements.

·    Ability to sit, stand, use a computer, review plans/specifications, communicate by phone/email/video conference, and participate in meetings for extended periods.

Working Conditions

·    Primarily office-based with regular project site visits required; actual office/field balance may vary based on project needs.

·    Field visits may involve active construction sites, weather exposure, uneven terrain, dust, noise, temporary access conditions, and standard PPE requirements.

·    The role requires frequent deadline-driven work, competing priorities, problem solving, and coordination with multiple internal and external parties.
