Executive Administrative Assistant Office Manager

Currently, we are seeking an Executive Assistant & Office Manager to serve a dual‑function role, providing high‑level executive support to the Global President and CHRO while overseeing the day‑to‑day operations of the office. The Executive Assistant & Office Manager will ensure effective management of executive priorities, communications, meetings, and travel, while also maintaining an efficient, professional, and productive workplace environment. This role requires exceptional organizational skills, sound judgment, discretion, adaptability, and the ability to balance competing priorities across executive support and office operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Executive Support Manage executive calendars, including scheduling, prioritization, and coordination of internal and external meetings Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting Prepare meeting agendas, presentations, reports, briefing materials, and executive correspondence as needed Track action items, deadlines, and follow‑up activities on behalf of the Global President and CHRO Serve as a primary point of contact for executive communications and requests Exercise discretion and maintain confidentiality regarding sensitive business and employee matters Assist with executive leadership meetings, off‑site events, board‑related activities, and strategic initiatives Communication and Coordination Facilitate communication between executives and internal stakeholders Draft, review, and distribute executive communications and meeting materials Coordinate logistics for leadership meetings, town halls, employee events, and special projects Ensure timely follow‑up and completion of assigned executive action items Office Management and Operations Manage daily office operations to ensure a safe, organized, and professional work environment Serve as the primary liaison with building management, facilities providers, and office vendors Coordinate office maintenance, repairs, and workplace services Manage office supply inventory and purchasing Monitor workplace needs and support employee office‑related requests Maintain office procedures, records, and operational documentation Employee Experience and Event Support Coordinate workplace logistics for onboarding and offboarding activities as needed Support employee engagement events, celebrations, meetings, and company functions as needed Assist with office‑wide communications and employee experience initiatives Coordinate catering, meeting space preparation, and event logistics as needed Vendor and Administrative Management Manage vendor relationships, service agreements, and office‑related contracts Process invoices, purchase orders, expenses, and related administrative documentation Track office‑related expenditures and maintain budget records as assigned Ensure office equipment and services are functioning effectively and efficiently Project and Operational Support Assist with special projects and cross‑functional initiatives as assigned Support the execution of organizational priorities through coordination, communication, and project tracking Identify opportunities to improve office efficiency, administrative processes, and workplace effectiveness Qualifications Bachelor's degree preferred or equivalent combination of education and experience 5+ years of executive administrative support experience and/or office management experience Strong organizational, project management, and prioritization skills Excellent written and verbal communication abilities High degree of professionalism, discretion, and confidentiality Proficiency with Microsoft Office Suite, Teams, Outlook, PowerPoint, Excel, and related business systems Ability to work independently and effectively manage competing priorities in a fast‑paced environment Organizational Excellence Executive Presence Communication Skills Confidentiality and Trust Time Management Problem Solving Attention to Detail Customer Service Orientation Scope and Accountability This role is accountable for: Effective executive calendar, meeting, and travel management Timely and professional support of the Global President and CHRO Efficient day‑to‑day office operations and workplace services Vendor coordination and office administration Employee experience support related to workplace operations Successful execution of assigned projects, events, and administrative initiatives This role is not accountable for: Direct management of Finance, HR, IT, or departmental operations Ownership of company financial reporting or budgeting processes beyond assigned administrative responsibilities Strategic decision‑making authority for departments outside of assigned responsibilities Performance management of employees unless specifically assigned supervisory responsibilities Operational ownership of projects or functions assigned to other departments What we Offer As part of our team, you can expect: The opportunity to contribute to a globally recognized premium brand with products that make a difference in the lives of families worldwide. The recruiting range for this role is between $75,000 -$100,000. Target compensation range and subsequent actual salary is/will be determined by a number of factors including but not limited to specific skills, competencies, years of experience, geographic location and education as aligned to the job description.
