We partner with corporate clients to deliver executive coaching, cohort leadership programs, assessments (CliftonStrengths, DiSC, and 360 reviews), and organizational consulting. Our core team works alongside a network of experienced contract coaches to serve clients across the country.

The Role

As Senior Operations & Delivery Administrator, you will be the operational center of HumanPoint—keeping both our business operations and client engagements organized, visible, and moving forward.

You will partner closely with our senior consultants, who lead client engagements and own client relationships. Your role is to build and maintain the structure around that work: project plans, timelines, scheduling, materials, follow-up, systems, and logistics. You will know what has been completed, what is coming next, who owns it, and where something may be starting to slip.

Beyond client delivery, you will help run the day-to-day operations of the firm, including business administration, technology platforms, vendors, finance operations, and our Bellevue office.

This is a broad, hands-on role by design. We are looking for an experienced, highly technology-fluent professional who enjoys bringing order to complexity, anticipates what needs to happen, and uses technology and AI to work smarter. You should be equally comfortable coordinating a client program, producing a polished presentation, troubleshooting a business system, following up on a payment, or improving a process that isn't working well.

We are looking for someone who can step in, learn our business quickly, and improve how we operate—not simply maintain the status quo.

This role reports to the CEO.

Key Responsibilities

Client Delivery & Project Coordination

• Partner with senior consultants to build and maintain project plans, timelines, milestones, and ownership in ClickUp across multiple concurrent client engagements.
• Maintain a clear, current view of project status, upcoming deliverables, open items, and risks.
• Keep consultants, coaches, clients, and internal team members aligned through proactive follow-up and coordination.
• Identify issues early and raise them to the engagement lead before they become problems.
• Own scheduling for client sessions, meetings, and other engagement activities.
• Coordinate program logistics, including virtual and in-person sessions, travel, events, and offsites.

Client Materials & Program Support

• Produce professional session decks, workbooks, participant materials, applied-learning tools, and program reports from senior direction.
• Prepare materials before sessions, incorporate post-session updates, and maintain organized, version-controlled program assets.
• Support the production of 360, DiSC, CliftonStrengths, and other assessment outputs and client-facing reports.
• Use HumanPoint's templates, AI tools, and established processes to produce work that requires refinement rather than rebuilding.

Business, Finance & Office Operations

• Manage business administration, including files, documents, correspondence, records, contracts, and other operational details.
• Support finance operations in partnership with our accountant, who owns the firm's bookkeeping. Responsibilities include depositing and recording payments, accounts receivable follow-up, running QuickBooks reports, maintaining client contracts, and providing information needed by the accountant.
• Support the practical operation of our Bellevue office, including vendors, supplies, equipment, mail, occasional client meetings, and new-hire setup.
• Coordinate internal meetings, team activities, travel, and occasional in-office events.

Systems, Technology & Vendors

• Own the day-to-day administration of HumanPoint's core business systems, including Microsoft Office, ClickUp, Harvest, and QuickBooks.
• Manage our broader SaaS environment, including user access, licensing, renewals, vendor support, and basic troubleshooting.
• Our current technology stack includes platforms such as Cornerstone, Qualtrics, HubSpot, Epic DiSC, Gallup CliftonStrengths, Articulate Rise, Canva, SurveyMonkey, Claude, and Copilot. You do not need prior experience with every platform, but you should be highly comfortable learning and managing new technology.
• Manage day-to-day relationships with outside partners and vendors, tracking contracts, renewals, deliverables, and follow-up.

Process Improvement & AI

• Identify opportunities to simplify workflows, improve documentation, automate repetitive work, and reduce operational friction.
• Use AI tools regularly and thoughtfully to improve productivity, content development, project coordination, and business processes.
• Document the processes you own so important work is visible, repeatable, and not dependent on any one person's memory.
• Bring forward ideas for improving how HumanPoint operates as the firm grows.

Qualifications

• 5+ years of experience in business operations, senior administration, project coordination, or a similar role, ideally within a professional services or consulting environment.
• Demonstrated experience coordinating multiple concurrent client projects or engagements, including timelines, deliverables, ownership, and follow-up.
• Experience producing polished client-facing presentations, workbooks, reports, or similar deliverables.
• Strong technology fluency and the ability to learn new platforms quickly and independently.
• Active experience using AI tools such as Claude, Copilot, or similar tools to improve day-to-day work and produce or refine content.
• Strong judgment around AI-generated content, accuracy, and confidential information.
• Highly proactive and ownership-minded—you anticipate what needs to happen rather than waiting to be asked.
• Strong working knowledge of Microsoft Office and comfort with project management, finance, time-tracking, and other SaaS platforms.
• Experience supporting finance operations such as payments, accounts receivable, financial reporting, and contract administration.
• Strong organizational skills and attention to detail, with the ability to manage competing priorities without losing track of follow-through.
• Clear, professional communication with clients, consultants, coaches, colleagues, and vendors.
• A process-improvement mindset: you notice friction, investigate the cause, and make things work better.
• Experience in leadership development, executive coaching, professional services, or assessment-based programs is a plus.

What Success Looks Like

• You bring the experience to step into an established firm and take ownership quickly. You've done this before, so you know how to learn a business fast, figure out what's in motion, and get it under control. In your first weeks, you learn how HumanPoint runs, take ownership of scheduling, project tracking, vendor, systems, and finance work, and identify anything that needs immediate attention. As you go, you document the processes you own so the function is clearly defined and repeatable.
• Within a few months, operations run more smoothly and consistently than before you arrived. Every client's engagement has a clear plan and a current status, and our senior consultants trust that the details are being tracked and followed up on. Leadership no longer has to hold the state of every project in their heads, because you do, and it's written down. Senior consultants hand you directions and get back materials they can refine rather than rebuild. Our systems are current, the office is organized and well managed, payments and receivables are current, the accountant has what they need, and our core processes are documented. You are using AI and technology to speed up routine work and improve how we operate.
• You become the dependable, technically fluent operational center the firm can build on.

Location

This is a remote-first role open to candidates based in Washington State. You will work remotely day to day, with occasional in-office time at our Bellevue office of up to four days per month. xhyhwjd

Compensation & Benefits

Base salary: $85,000–$110,000 , depending on experience, plus a performance bonus of up to 12% of salary and a comprehensive benefits package:
