Our teams handle complex property losses and provide responsive, professional service to our customers and industry partners.

We are seeking an experienced Mitigation Estimator to join our Emergency Services team. This position is responsible for preparing accurate, well-documented Xactimate estimates, coordinating with project managers and insurance adjusters, and managing assigned jobs through estimate approval, invoicing, and collections.

We are looking for someone who understands restoration estimating, takes ownership of their work, communicates effectively, and follows through to ensure jobs are properly documented and paid.

Key Responsibilities

Estimating and Documentation

• Prepare detailed Xactimate estimates for water mitigation, mold remediation, asbestos and lead abatement, biohazard and trauma cleanup, emergency board-ups, fencing, and other specialty services.
• Develop accurate estimates based on jobsite conditions, technician documentation, photos, moisture readings, labor, equipment usage, materials, and applicable industry standards.
• Review job files to ensure all required documentation, work authorizations, photos, notes, and supporting records are complete before submitting estimates.
• Determine appropriate labor, equipment, material, and specialty service costs.
• Prepare estimate revisions and supplements when additional work, changing conditions, or scope discrepancies arise.
• Maintain organized and accurate job files within company software systems.

Insurance and Project Coordination

• Communicate directly with insurance adjusters, consultants, property owners, and project managers regarding estimates, scope, pricing, and claim documentation.
• Work closely with project managers and field personnel to gather the information necessary to support estimates and invoices.
• Follow up consistently on submitted estimates to obtain approvals and resolve scope or pricing disputes.
• Review estimate feedback, address discrepancies, and negotiate appropriate resolutions with insurance carriers and consultants.
• Keep project managers informed of estimate status, outstanding documentation, approval delays, and issues affecting billing or collections.
• Attend occasional jobsite visits to review conditions, gather information, and coordinate with field personnel as needed.

Billing, Collections, and Accountability

• Coordinate invoicing for assigned jobs once required documentation and billing requirements are met.
• Follow up on outstanding invoices, unpaid balances, and delayed payments.
• Work directly with insurance carriers, adjusters, customers, and other responsible parties to resolve billing disputes and collect outstanding receivables.
• Track assigned jobs from estimate submission through approval, invoicing, and final payment.
• Maintain timely follow-ups and accurate records to help reduce estimate approval and collection delays.
• Take ownership of assigned files and communicate proactively when a job is delayed or requires additional attention.

Performance and Industry Standards

• Meet established company expectations for estimate turnaround, follow-up, documentation, billing, and collections.
• Follow applicable IICRC standards, company procedures, and insurance documentation requirements.
• Stay current on restoration estimating practices, software updates, and industry developments.
• Work collaboratively with operations and management to improve estimating accuracy, efficiency, and customer service.

Qualifications

• 2–3 years of restoration industry experience , preferably in mitigation estimating.
• Demonstrated experience preparing estimates in Xactimate.
• Xactimate Level 1 and Level 2 certifications preferred.
• Working knowledge of water mitigation and specialty restoration services, including mold, asbestos, lead, biohazard cleanup, and emergency board-up services.
• Understanding of restoration documentation, labor and equipment charges, and insurance claim estimating practices.
• Ability to interpret jobsite photos, technician notes, moisture readings, work authorizations, and other supporting documentation.
• Strong written and verbal communication skills, including experience communicating with insurance adjusters and third-party consultants.
• Proficiency with Microsoft Office, email, spreadsheets, and document management systems.
• Strong organizational skills, attention to detail, and the ability to manage multiple files simultaneously.
• Experience with invoicing, accounts receivable, collections, and resolving payment disputes preferred.
• Ability to work independently, solve problems, and follow assignments through to completion.
• Maintain a valid driver’s license to include a clean driving record.
• Must undergo a background check, and pass a drug test.

• Accurate, complete estimates submitted within established deadlines.
• Consistent follow-up with adjusters and consultants to move estimates toward approval.
• Strong communication and coordination with project managers and field personnel.
• Complete documentation supporting estimates and invoices.
• Timely billing and proactive collection efforts.
• Ownership of assigned jobs from initial estimate through final payment.

Compensation and Work Environment

• Annual salary of $55,000–$65,000 , depending on experience.
• Full-time, in-office position based in Phoenix, Arizona.
• Occasional field visits as necessary to support estimating and project coordination.
• Opportunity to work with an established Arizona restoration company handling a wide range of emergency and specialty restoration losses.
• Once a month to be on call for a week on large loss .
