The Seppic Inc. manufacturing site, opened in 2020, is located near Richmond, Virginia, USA. The plant specializes in producing ingredients for cosmetic and pharmaceutical products. It has enhanced our proximity to our North American customers and increased our manufacturing capabilities worldwide.
Its overall concept was designed to incorporate the highest levels of manufacturing quality for cosmetic and pharmaceutical ingredients. All of the Good Manufacturing Practices (GMP) are integrated at the product flow level as well as at the individual flow level. The units, all outfitted with a self-cleaning system, are fully automated for consistent and easily traceable quality.
The plant has been designed with a minimal-waste or emission objective. The best available techniques were used to reduce waste and emissions to a strict minimum at their origin. The principles of recycling have been systematically adopted and final discharge treatment systems have been installed at the vent and waste-water levels to ensure there is minimal impact on the environment.
The facility has obtained ISO 9001:2015, EFf CI and RSPO certification.

Mission & Responsibilities
The HR Intern position is an opportunity to experience the full generalist realm of Human Resources at Seppic Inc. The mission will seek to learn and actively participate in the day-to-day operations of the HR department, supporting recruitment, onboarding, employee engagement, benefits and to foster a positive and productive work environment.
Looking for someone at the end of college career or early in their work career with computer skills. Needs to have an interest in HR and strive to work in HR. Be able to multitask, flexible, energetic, and who is good with databases and HRIS systems, WorkDay preferably, run reports, and protect PII due to access to benefits and salary information.

Leave Administration & Compliance
Serve as primary contact for employee medical / workers comp, administrative leave and tracking of FMLA
Maintains integrity, confidentiality, accurate files, records, and tracking of documentation

Management of Employee Benefits (these tasks will move to BSC in the future but we still someone as a local point of contact)
Ensure new hire benefits are reviewed and entered into vendor systems, updated in MyHR as appropriate
Upon termination of employment, update plan ending and COBRA notifications
Update annual benefits summary sheets for both sites
Submit benefits reports to vendor for employee Total Rewards Statements

Employee Engagement
Manage the employee attendance and recognition program (Richmond)
Assist in coordination of employee business meetings, town hall events (can be for both sites - i.e. preparations for monthly meetings, assign safety moment etc.)
Support planning & driving Wellness initiatives (both sites)
Manage media communications & announcements on monitors (both sites)
Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations (can be both sites depending on the event)

Reports, Invoices, & Compliance
Attendance, Hours and Weekly Headcount Reports
Cost Center Count Report for Finance
Weekly HRA report to Finance team
Process invoices for Finance team
Assist with month end reporting to Seppic HR
Assist with year end reporting to Seppic HR
Review and assist with updating organization policies, job descriptions and other compliance documentation
Supports and assists with federal and state compliance reports, projects, and audits

HR Priorities
Coordinate scheduling of job interviews
Assist with managing of HRIS information in MyHR
Assist with onboarding of new employees
Assist with posting HR communications in visible locations
Serve as champion for corporate initiatives and activities
Assist with payroll & benefits inquiries
Coordinate with IT department on office equipment as needed
Birthday, anniversary, sympathy recognition and acknowledgement

Competencies & Profile
Interns must uphold ethical standards and integrity when handling sensitive confidential information.
Proficiency in Google preferred or MS Office (MS Excel and MS Outlook, in particular)
Time management skills and ability to multitask and prioritize work
HR interns should possess a blend of hard and soft skills.
Essential competencies include communication, organizational skills, and the ability to learn HR practices.
Interpersonal skills, problem-solving, and attention to detail.
Understanding HR software, legal aspects of HR, and data analysis can be valuable.
Effective written and verbal communication is vital for interacting with employees, HR staff, and stakeholders.
Accuracy in managing documentation and understanding compliance requirements.
Ability to learn quickly, adapt to new situations, and acquire new knowledge is essential.
Familiarity with HR systems and software is a plus.
