Construction Project Coordinator

Chaparral Insulation Company is seeking a highly organized and proactive Construction Project Coordinator to help manage the administrative and operational lifecycle of our construction projects-from initial bid through project setup, turnover, execution, closeout, and collection.

This position serves as a central point of coordination between Estimating, Operations, Project Management, Field Operations, and Accounting. The Project Coordinator will track project milestones, maintain accurate information across company systems, follow up on outstanding requirements, and help ensure projects are properly prepared before work begins.

The ideal candidate is detail-oriented, comfortable managing multiple projects at different stages, someone who takes initiative to follow an issue through to resolution and be a strong professional with high collaboration skills

Position Description

• Track projects through the full lifecycle: Lead ? Bid ? Award ? Budget ? Submittals ? Buyout ? Contract/Compliance ? Setup ? Turnover ? Completion/Closeout.
• Maintain accurate project information including customer, branch, scope, bid and contract values, start dates, and project status.
• Track bids and project awards and coordinate the transition of awarded work from Estimating to Operations.
• Track project budgets and ensure required information is completed prior to turnover.
• Coordinate and track material submittals, approvals, revisions, and outstanding requirements.
• Identify projects over $250,000 requiring Buyout and track the process through completion.
• Track executed contracts, Resale Certificates, and other required project documentation.
• Coordinate project information between MIKE (Mechanical Insulation's Key Estimator), Jira, and Vista, verifying accurate project setup and identifying discrepancies.
• Coordinate and facilitate project Turnover Meetings between Estimating, Operations, Project Management, Accounting, Purchasing, and field leadership.
• Track outstanding action items, responsible parties, and completion dates following Turnover.
• Maintain project status reports and identify projects that are stalled, approaching deadlines, or missing critical information.
• Assist with project closeout and follow-up on outstanding documentation and receivables.
• Communicate across departments to ensure project requirements are identified, assigned, tracked, and completed.
• Identify recurring process gaps and recommend opportunities to improve project workflow and visibility.

Position Requirements

• 2-4 years of project coordination, construction administration, operations, or related experience preferred.
• Commercial or industrial construction experience preferred.
• Familiarity with construction processes such as estimating, budgets, submittals, contracts, buyout, project turnover, and closeout is a plus.
• Experience with construction ERP/project management systems preferred; Vista/Viewpoint experience is a plus.
• Proficiency with Microsoft Office, particularly Excel.
• Strong organizational skills and attention to detail.
• Ability to manage multiple projects and priorities simultaneously.
• Strong written and verbal communication skills.
• Comfortable following up across departments and escalating outstanding items when necessary.
• Self-motivated with a strong sense of ownership and follow-through.
