Maintenance Master Data Specialist

Job Responsibilities:

• Perform high-volume and accurate data entry into maintenance databases, systems, and records.
• Enter, update, and maintain maintenance master data and system information.
• Maintain accurate equipment records, maintenance files, work orders, schedules, and related documentation.
• Organize, maintain, and archive paper and electronic maintenance records.
• Review documentation for accuracy, completeness, consistency, and data integrity.
• Assist maintenance personnel with updating records, schedules, work order details, and equipment information.
• Ensure maintenance documentation is properly filed and readily accessible.
• Support data cleanup and organization activities to maintain reliable maintenance records.
• Assist with day-to-day administrative tasks within the maintenance department.
• Follow established documentation procedures and applicable quality requirements.
• Support cGMP documentation practices when applicable.
• Utilize Microsoft Word, Excel, and other computer applications for data entry and records management.
• Use SAP or similar ERP systems for maintenance data entry when required.
• Handle confidential and operational information with appropriate attention to accuracy and security.
• Manage multiple data entry and administrative tasks in a high-volume environment.
• Identify data discrepancies and communicate issues to the appropriate maintenance personnel.
• Maintain organized work areas and filing systems.
• Support additional maintenance administration and data management activities as assigned.

Education/Experience:

• Entry-level candidates are encouraged to apply.
• Prior administrative, data entry, office support, or records management experience preferred.
• Strong attention to detail and high level of accuracy.
• Ability to learn new systems and processes quickly.
• Ability to manage high-volume workloads efficiently.
• Basic proficiency with Microsoft Office, particularly Word and Excel.
• General computer and data entry proficiency required.
• SAP or similar ERP experience is strongly preferred.
• Experience with cGMP documentation standards is a plus.
• Strong organizational and filing management skills.
• Ability to work independently and as part of a maintenance team.
• Must be available to work onsite Monday-Friday, 8:00 AM-5:00 PM in Vacaville, CA.
