We"re seeking a highly organized and dependable Service Coordinator to support a growing HVAC service and repair company in the Champaign area. This position serves as the communication hub between customers, field technicians, and office operations. You"ll play a critical role in keeping technicians scheduled, jobs organized, permits completed, inventory tracked, and projects moving efficiently from start to finish. What You’ll Do Coordinate daily schedules for service technicians and field personnel. Schedule service calls and help prioritize workload based on customer needs and job urgency. Communicate with customers regarding appointments, scheduling updates, and project timelines. Maintain job files, work orders, permits, and project documentation. Track inventory, materials, and equipment needed for upcoming jobs. Assist in ordering supplies and coordinating material availability. Support technicians by ensuring they have accurate information before arriving on job sites. Monitor project progress and help identify potential scheduling conflicts before they become problems. Maintain accurate records and data within scheduling and business management systems. Assist with general office administration and operational support. Work closely with management to ensure projects stay organized and on schedule. What We’re Looking For Previous experience in administrative support, scheduling, dispatching, customer service, or operations coordination. Strong organizational and multitasking skills. Excellent verbal and written communication abilities. Strong computer skills, including Microsoft Office. Ability to prioritize changing workloads and adapt in a fast‑paced environment. High level of attention to detail and accuracy. Professional demeanor when interacting with customers, vendors, and team members. Ability to work independently and take ownership of responsibilities. High School Diploma or GED required. Bonus Points For Experience working in the HVAC, construction, service, maintenance, plumbing, electrical, or skilled trades industries. Experience coordinating field employees, technicians, or service teams. Familiarity with scheduling, dispatching, or project management software. Work Environment This position is primarily office-based and involves frequent computer and phone use throughout the day. Candidates should be comfortable: Working on a computer for extended periods.
