Administrative Support Specialist

Position Overview North Carolina Central University (NCCU) is a historically Black university located in Durham, North Carolina. We are looking for an Administrative Support Specialist to support the Department of Nursing and serve as the first point of contact for students, parents, and caregivers. The role will ensure the efficient day‑to‑day operation of the department, manage operational funds, and create and analyze reports for accreditation and membership agencies. Required Knowledge, Skills, and Abilities The successful candidate must have: Working knowledge of Student Banner or an equivalent system Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) Knowledge of budget and office management Experience writing reports, planning special events and meetings Ability to work independently with little supervision Initiative to complete projects and assignments Analytical skills and ability to interpret and analyze information Judgment and discretion in problem solving Planning, prioritizing and organizing workflow Flexible scheduling and excellent communication skills (written and oral) Editing skills and interpersonal skills for high‑pressure environments Minimum Education/Experience High School Diploma or equivalency and one year of related office experience; or an equivalent combination of training and experience. Preferably an Associate's degree with a focus in business, accounting, or management. Pre‑Employment Requirements Complete and submit an electronic application; resumes are not accepted. Key Responsibilities and Related Competencies Communication – Oral Express oneself with clarity in oral form. Recite departmental minutes from previous meetings orally. Communicate department directives effectively in person or by phone. Welcome visitors by greeting in person or on the phone; answer or refer inquiries. Establish monthly meetings to convey the department’s direction and alignment with the college mission. Communication – Written Compose letters, memos, notices, charts, agendas, and email correspondence from the department head. Type documents accurately without follow‑up review, including correct spelling, grammar, and punctuation. Apply judgment and organization to formatting and layout. Assist in developing forms, procedures, and manuals for the department. Assist with writing proposals and reports. Create informational materials, recruitment brochures, and website content describing departmental programs. Office Technology Use office machines (typewriter, duplicator, computer, calculator, fax) efficiently. Use Microsoft Outlook for email communication, scheduling, and coordinating the department chair’s appointments. Use Voice‑over‑IP phone system for communication. Use Microsoft Office Suite (Word, Excel, Access, Outlook) for word processing, spreadsheets, and data entry. Use Banner 9 for budget management and ordering supplies. Problem Solving Identify problems and collect relevant information. Determine causes, propose solutions, and apply judgment for resolution. Make decisions based on delegated authority. Knowledge – Program Understand department services, policies, and procedures related to mission and vision. Apply knowledge to office support tasks, events, meetings, and other assignments. Interpret and explain department information to students, faculty, staff, administrators, collaborators, and external visitors. Learn and apply complex policies and procedures related to nursing. Support instruction through administration of course syllabi, materials, exams, evaluations, schedules, and inventory. Plan and direct the department’s operating budget and finances. Make timely financial decisions on behalf of the department. Advise the chair and dean on budget impacts and related matters. Structure internal budgeting processes and controls to monitor operations. Assist with new grants and monitor expenditures to align with approved purchases. Information/Records Administration Create and maintain electronic files and records. Analyze and compile data for university and accrediting reports. Summarize data using established formats. Organize information from various sources to develop reports. Establish new records‑management systems. Oversee transition from paper to electronic record‑keeping. Respond to inquiries and requests for information internally and externally; protect data and archive records. Develop and modify job descriptions for new positions within the department. Coordinate posting of public service employment (EHRA, SHRA) positions. Work with the search committee on faculty and staff recruitment and retention. Liaise between Human Resources, the department, and the dean’s office. Oversee onboarding of new faculty and staff. Work Hours Monday – Friday, 8:00AM to 5:00PM.
