School Receptionist

This position is Monday, Wednesday, and Fridays when school is in session. Essential functions include preparing, copying, and distributing notices, memoranda, or other correspondence to inform school employees about activities, events, or work-related matters. Assists in planning and scheduling school events and activities, and maintains a calendar of school and student events to coordinate and schedule events such as orientation, open house, field trips, sporting events, assemblies, and conferences. Assists in maintaining documents, files, and records to provide up-to-date reference and audit trail for compliance. Prepares purchase orders for submission to the school district's accounting/finance office. Assists in maintaining inventories of supplies and materials to ensure items' availability. Assists visitors to the office, including students, parents, substitute teachers, and others. Answers telephone calls and provides information and assistance to callers. Distributes incoming mail appropriately and sends outgoing mail. Evaluates situations to take appropriate action and/or direct to appropriate personnel for resolution. Registers new students, ensuring forms are completed, obtaining transcripts and other documentation as needed, and entering data into the computer system regarding enrollment and student records (e.g., transportation, free and reduced lunch program, attendance, withdrawals). Responds to inquiries from students, parents, and employees, providing information, facilitating communication among parties, and/or providing direction. Uses standard office equipment, such as personal computers and copiers. Travel requirements are none. Knowledge, skills, and abilities include carrying out instructions furnished in written or oral form, adding, subtracting, multiplying, and dividing, and performing arithmetic operations as needed, understanding and applying personal computers and software applications (e.g., Word), working with a diverse group of individuals, maintaining confidentiality of information regarding students, employees, and others, establishing and maintaining cooperative working relationships with students, staff, and others contacted in the course of work, reporting work orally or in writing to supervisor as required, and effective writing and verbal communication skills. Physical and mental demands include working in standard office and school building environments and being able to work outdoors during outdoor student activities. Qualifications profile includes any combination of education and experience providing the required skill and knowledge for successful performance. Typical qualifications would be equivalent to a high school diploma or equivalent. Prior successful clerical experience is preferred. FLSA status: non-exempt.
