Document Management Summer Intern

Position Summary: The Document Management Clerk is responsible for prioritizing multiple types of requests and efficiently processing information. The demographic information for TRS members is vital to ensuring proper communication and accurate calculation of benefits. It is important that this data is promptly and correctly entered, and that any issues are escalated appropriately.

Essential Responsibilities:

• Prepare daily mail for scanning, including removing staples, separating blank and instruction pages, making copies, and researching member information
• Scan incoming documents
• Open incoming mail and process outgoing mail
• Index scanned documents into the correct member case file using Kofax
• Prepare batches for on-site and off-site storage, which may require lifting boxes up to 50 lbs
• Research data when conflicting information is provided or when system errors prevent updates
• Organize daily tasks to ensure timely completion of work and escalation of issues when necessary
• Investigate discrepancies or errors in workloads and identify irregularities or trends
• Assist management and staff with demographic updates, testing issues, and documentation creation
• Support mail room and stockroom operations as needed

Minimum Qualifications: As of June of the Program year the prospective intern must be a student matriculated in a college or be a recent college graduate (winter/spring term of the Program year). NOTE: Appointment to this title is only valid for the duration of the Program, June - August each year.

Residency Requirement: New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
