Hours Shift Start Time: 8:30 AM Shift End Time: 5 PM AWS Hours Requirement: 8/40 - 8 Hour Shift Weekend Requirements: As Needed On-Call Required: No Hourly Pay Range (Minimum - Midpoint - Maximum): $63.400 - $81.810 - $100.210 The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices. What You Will Do Serve as the senior officer for Foundation financial and administrative services management. Responsible for the overall management of the financial aspects of the Foundations ensuring compliance with federal, state and generally accepted nonprofit accounting standards. This includes financial reporting on a timely basis, cash management, investment management, budget preparation, contract review and approval. Staff the SHF and CHF Finance Committees and preparation of reports for the Boards of Directors. Provide oversight of the Foundations balance sheet totaling $300 million in assets, more than 300 funds and 70 endowments. Position works closely with the Sharp Foundation accountant and other key individuals in the Sharp Finance Department including in preparation of the Foundation 990s and audits. Responsible for the overall management of the operations and administrative aspects of the Foundations. This includes operations team and gift processing, planned giving compliance, reporting and analysis, government grant oversight, and general office administration (facilities, personnel, Workday, SharePoint, cybersecurity). While the Director is organized under SHF, the position oversees the financials of CHF through the Management Services Agreement, and serves as the system director of finance covering all four Sharp Foundations (SHF, CHF, GHF, TCHF). Required Qualifications Bachelor's Degree in Finance, Accounting, Business Administration, or related field. 7 Years Experience in a financial analysis and/or accounting. 3 Years Experience in non‑profit or Foundation financial management. 4 Years Management experience. Experience with nonprofit Financial Accounting Standards Board (FASB) and Generally Accepted Accounting Principles (GAAP) standards. Preferred Qualifications Master's Degree in Finance, Accounting, Business Administration, or related field. Grant management. Certified Public Accountant (CPA) - CA Board of Accountancy - PREFERRED Essential Functions Foundation Accounting and Financials Responsible for oversight of day‑to‑day finance and gift processing operations (including accounts payable and receivable, credit card reporting, gift processing) to ensure timely and accurate financial information with appropriate internal controls. Prepare timely and accurate financial reports on a monthly basis, including the system Quick Report and Foundations Dashboard, and provide other financial information to the CEO, Management Team and Board of Directors. Coordinate preparation and submission of the Foundations annual Five‑Year Cash, Capital and Operating Plan. Communicate with staff and board, orally, in writing, through reports to provide financial updates and overviews, support a strong culture of financial oversight and support staff and board fiscal literacy. Foundation Budget Management Manage the annual budgeting process utilizing recent data and information available and preparing projections. Work with the Foundation team to conduct budget analysis and projection; and prepare final annual budget for approval by the Board of Directors. Provide oversight of budget in Workday including appropriate expense and distribution approvals. SHF and CHF Finance Committees Staff the committee, prepare agendas and presentation materials, complete Treasurer’s report and prepare financial statements for the SHF and CHF Finance Committees and appropriate Boards of Directors. Develop annual calendar of Finance Committee items including investment review(s), endowment review, budgets and audits. Foundation 990s and Audits and Compliance Prepare all necessary information for audits and all tax returns (990s) for Finance. Provide all information for annual FASB adjustments to assure we are in compliance with accounting guidelines. Review and manage, and establish as needed, new internal systems and controls, operations, processes and financial procedures to ensure the integrity of financial information and reporting. Manage revenue recognition and track and ensure compliance with grant and other funding restrictions and regularly provide information to appropriate staff regarding status of restricted grants. Serve as Foundation liaison between Sharp Finance, Sharp Investment Committee and Financial advisor and assure all appropriate matters are reviewed/approved by Foundation leadership and/or appropriate finance committee. Fund Management and Balance Sheet Oversight Provide oversight of the Foundations balance sheet totaling $300 million in assets, more than 300 funds and 70 endowments. Manage fund management process for all SHF funds including development and adherence to fund management policies. Maintain accurate records of Endowment status and recommend to Board amount to be released for utilization in the current year. Provide oversight of all Foundation real estate holdings (residential, land, commercial) including valuations, appraisals, inspections and ultimate disposition. Operations Team Management Manage the Operations Team and gift processing functions. This includes all data systems and applications related to gift processing, banking, accounting and distributions, special event management platform and integration with Sharp HealthCare data warehouse and other applications. Review and manage, and establish as needed, internal systems and controls, operations, processes regarding organization of the Foundation data systems to ensure integrity, prevent fraud and abuse, and cybersecurity compliance. Together with Vice President, Donor Engagement manage the Foundations Technology Road Map (TRM) and any selection of applications and integration with Sharp system for data warehouse, single sign‑on and other applications as appropriate. Responsible for oversight of all benchmarking reporting including AHP and other groups. Grant Financial Management Develop and manage the Sharp infrastructure for government grant management. This includes establishing and adhering to policies and procedures, grant oversight functions, management of Government Grants Development Specialist and management of A‑133 audit requirements. Assist grants office in the preparation of grant proposals from a financial perspective. Manage government grant post‑award activities including review and interpretation of grant agreements for compliance, issuance of sub‑contractors’ agreements, fiscal reporting, reconciliation with Finance with cost centers, funds and budgets, compliance with agency and Sharp regulations regarding reporting, close‑out requirements. Planned Gift Administration Provide analysis of new planned gifts to assure meets goals of Sharp and the Foundation and follows all policies and procedures including return on investment calculations and all other regulatory requirements. Manage Sharp side of closing of gifts to include filing paperwork with appropriate agency, maintaining line of credit and receiving the necessary approvals, interacting with Escrow Company for closing of gift, assuring appraisals are current and appropriate and preparing necessary IRS forms for the donor. Manage maturation of planned gifts including interacting with attorneys and providing necessary information, selling of property and disposing of contents (when needed), handling issues as they arise. Submit necessary paperwork to governing agencies including annual Gift Annuity report and Quarterly Annuity reports with the State of California Department of Insurance. Other Serve as the resource for Workday. Provide support for job descriptions, hiring and annual performance reviews. Provide any other financial and administrative assistance as needed such as interacting with Facilities as needed. Knowledge, Skills, and Abilities Requires a deep understanding of nonprofit accounting, including understanding audited financial statements, balance sheet oversight and compliance with state and federal accounting standards. Ability to effectively manage and function as a member of team. Strong written and oral communication skills. Excellent project management ability, ability to interpret financial data concisely to a range of different audiences, is positive and solution‑oriented ability to manage change. Excellent interpersonal skills with ability to form strong relationships with staff. Strong critical thinking and creative problem‑solving skills. High level of integrity and professionalism.
