Your Mission: This position supports the Health Information Management department by maintaining accurate and complete resident records, serves as the primary point of contact at the front desk, and provides front office and basic business office support.

Key Responsibilities:

Health Information Management:

• Maintains resident medical records, both electronic and paper, in accordance with facility policy and state and federal regulations.
• Audit, organize, scan/upload, and accurately file medical records and related documentation in accordance with established recordkeeping and compliance requirements
• Enters and updates admission, discharge, and transfer documentation in PointClickCare.
• Processes requests for release of information in compliance with HIPAA and applicable state law.
• Reviews resident charts for completeness and accuracy and follows up with clinical staff on missing documentation.
• Assembles records and maintains organized documentation logs in preparation for state surveys, audits, and other compliance reviews.

Reception and Visitor Services:

• Greets and checks in visitors, residents, and families; maintains the visitor log and follows facility infection-control screening procedures (e.g., sign-in, temperature checks).
• Answers and screens incoming calls, takes accurate messages, and manages the general voicemail box.
• Monitors the lobby and front entrance for security and safety, escalating concerns to appropriate staff.
• Directs residents, families, and visitors to the appropriate department or staff member.

Front Office and Clerical Support:

• Prepares and updates admission and discharge packets, forms, labels, and correspondence.
• Copies, scans, files, and archives paper and electronic records to support departmental organization and audit readiness.
• Sorts and distributes incoming mail and prepares outgoing mail and packages.
• Provides general administrative support to the Health Information Management department and other departments as needed.

Business Office Support:

• Processes resident payments and Trust Account/petty cash transactions and issues receipts.
• Maintains accurate logs and documentation of transactions to support compliance and audit readiness.
• Forwards billing-related documents and inquiries to the Business Office for follow-up.

Your Qualifications:

• High school diploma or equivalent required; associate degree in health information management or a related field preferred.
• At least 2 years of experience in medical records, health information management, or a front office/receptionist role in a healthcare setting required.
• Familiarity with skilled nursing, long-term care, or assisted living regulatory requirements preferred.
• Possess current or has the ability to obtain a Level 1 Fingerprint Clearance Card is required.
