RECEPTION & SALES SUPPORT COORDINATOR

Clearfield, UT | Full-Time | Onsite

$18.00–$21.00 per hour, depending on experience

We are currently looking for a Reception & Sales Support Coordinator to join our team in Clearfield, Utah.

POSITION OVERVIEW

The Reception & Sales Support Coordinator serves as an important connection between our customers, sales representatives, and estimators.

This position is responsible for managing front-line customer communication, responding to incoming leads, scheduling appointments, maintaining accurate customer information, and helping coordinate the daily activities of our sales and estimating teams.

This is much more than a traditional receptionist position. We're looking for someone who is organized, tech-savvy, proactive, and comfortable managing multiple priorities throughout the day.

The right person will take ownership of incoming calls and leads and help ensure that every potential customer receives prompt, professional follow-up.

WHAT YOU'LL DO

Customer Communication & Reception

• Answer and manage incoming phone calls in a professional and courteous manner
• Return missed calls promptly and ensure customer inquiries are properly addressed
• Provide a positive and professional first impression for customers contacting Legacy Roofing
• Gather accurate customer and project information
• Coordinate customer appointments and communicate scheduling information
• Follow up to help ensure no customer inquiry or potential opportunity is overlooked

Lead Management & CRM

• Create and maintain accurate customer profiles and job information within JobNimbus
• Manage and respond to incoming leads through GoHighLevel (GHL)
• Monitor Google Local Services Ads (LSA) leads and ensure timely follow-up
• Accurately document customer communications, appointments, lead sources, and sales activities
• Help ensure new leads are contacted quickly and moved through the appropriate process
• Maintain clean, organized, and accurate CRM records

Sales & Estimator Coordination

• Review new opportunities and assign them to the appropriate estimator based on location, availability, workload, and company guidelines
• Manage estimator calendars and schedule appointments
• Reschedule and update appointments as needed
• Monitor the location and daily activity of the sales team throughout the Valley to help efficiently coordinate appointments
• Communicate schedule changes and customer information to estimators and sales representatives
• Help the team maximize daily schedules by coordinating appointments based on geography and availability
• Assist sales representatives and estimators with administrative and scheduling needs

Reporting & Administrative Support

• Pull and organize appointment data and reports as needed
• Track lead activity and appointment information
• Maintain accurate and organized customer records
• Assist management with sales and lead information when requested
• Help identify missed calls, unworked leads, scheduling conflicts, or other issues requiring follow-up
• Provide additional administrative support to the sales and management teams as needed

• Comfortable taking ownership of tasks and following through until they are completed
• Previous administrative, customer service, scheduling, sales support, or office coordination experience is preferred
• Roofing, construction, home improvement, or similar industry experience is a plus but not required

TECHNOLOGY EXPERIENCE

Experience with the following is a plus:

• JobNimbus
• GoHighLevel (GHL)
• Google Local Services Ads
• CRM systems
• Scheduling/calendar platforms
• Microsoft Office and/or Google Workspace

Previous experience with these specific systems is not required if you are tech-savvy and comfortable learning new technology.

COMPENSATION

• $18.00–$21.00 per hour, depending on experience
