Maintenance Administrator

Our client is seeking a highly organized and service-oriented Maintenance Administrator to support daily operations for a growing residential property portfolio. This individual will play a key role in managing maintenance requests, coordinating vendor communication, and ensuring repairs and building-related issues are handled efficiently and professionally. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced, team-driven environment. Onsite in San Francisco, CA Tuesday – Saturday | 9:00 AM – 6:00 PM Key Responsibilities: Serve as a primary point of contact for maintenance-related questions, requests, and building support needs. Receive, coordinate, and track maintenance requests from residents, vendors, and internal teams in a timely manner. Create, assign, update, and close work orders within internal property management systems while ensuring accurate documentation and follow-up. Coordinate scheduling and dispatching for maintenance technicians and third-party vendors based on urgency and operational needs. Monitor open maintenance items and proactively follow up to ensure timely resolution and resident satisfaction. Communicate scheduled maintenance, repairs, and building updates to residents and internal teams as needed. Assist with vendor coordination, project follow-ups, and administrative support related to repairs and ongoing property operations. Collaborate closely with operations, maintenance, and property teams to elevate urgent issues and improve communication workflows. Manage ticketing systems, work order updates, and maintenance-related administrative tasks with strong attention to detail. Support the preparation of operational updates, compliance tracking, and general maintenance coordination efforts. Provide professional and responsive customer service while handling resident concerns and maintenance-related inquiries. Identify opportunities to improve efficiency, organization, and day-to-day operational processes. Requirements: 1–3+ years of experience in administrative support, maintenance coordination, property operations, or a related field. Experience working within property management systems, ticketing platforms, or scheduling software preferred. Strong written and verbal communication skills with a professional and customer-focused approach. Excellent organizational and multitasking abilities with strong follow-through and attention to detail. Comfortable working in a fast-moving environment with changing priorities and deadlines. Positive, proactive, and collaborative mindset with strong problem-solving skills. Reliable, adaptable, and able to work effectively across multiple teams and departments.
