A day in this role

As the Commercial HVAC Project Delivery Coordinator, you orchestrate complex, multi-function HVAC initiatives from kickoff through closeout. You turn drawings into action, align teams and vendors, safeguard scope and budget, and keep customers informed—so every milestone lands on time and to specification.

What you’ll do

• Interpret mechanical plans, specifications, and drawings to enable accurate coordination and execution.
• Drive technical project activities to meet scope, schedule, cost, and quality targets.
• Own day-to-day timelines, deliverables, and task management across assigned commercial projects.
• Balance multiple concurrent projects with disciplined organization and attention to detail.
• Communicate clearly with customers, vendors, project managers, and internal teams—in person, by phone, and in writing.
• Coordinate resources, schedules, documentation, vendor relationships, budgets, change orders, risks, and issue resolution.
• Track progress and performance against plan; escalate and mitigate variances early.
• Participate in quality control, helping identify, communicate, and resolve quality concerns.
• Support complex initiatives that span multiple projects and stakeholders.
• Maintain thorough project records and updates to ensure clarity and accountability across the lifecycle.
• Perform additional duties as operationally required.

What you bring

• Background in sheet metal estimating within a mechanical contractor, HVAC, or manufacturing environment.
• Customer service and sales savvy; able to cultivate strong relationships with customers, suppliers, and internal partners.
• Hands-on experience with sheet metal estimating tools (e.g., Quote Express or similar).
• Familiarity with ERP platforms (such as QAD or comparable systems).
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and comfort in a Windows environment.
• Ability to review, mark up, and manage PDFs using Adobe Acrobat and/or Bluebeam.
• Strong job knowledge: clear understanding of role objectives, duties, and responsibilities.
• High quality standards: accurate, thorough, reliable, and on time with minimal supervision.

Experience and credentials

• Preferred: experience with takeoffs, sheet metal ductwork for fabrication, or prior project coordination in manufacturing/industrial settings.
• Certificates & Licenses: none required.
