Office Administrator

What you can expect:

· Pay starting at $23.00 - $25.00 per hour depending on experience.

· Annual increase potential.

· Paid Time Off.

What you will do:

· Assist Contracts Manager with all contract requirements (examples include contract preparation, subcontract documentation, bid and contract bond preparation, job closeouts, DBE documentation).

· Assist in bidding process, which may include tracking bid advertisements, ordering plans, reviewing bid requirements, tracking subcontractor quotes and bid addenda, preparing and submitting bids, distributing results.

· Prepare and assist with Annual Master Subcontracts and Subcontractor Safety Qualifications. Track compliance for subcontractor insurance and indemnity requirements. 

· Generate job-specific work orders and submit agreements to appropriate agency for subcontract approval with required documentation. Acknowledge payments and receipts as required by appropriate agency.

· Successfully utilize accounting software systems and Microsoft Office Suite applications daily.

· Prepare and submit bi-weekly subcontractor check runs to Accounts Payable.

· Review billing estimates for quantity discrepancies. Prepare and process job billings to customers.

· Process subcontract payment sheets and submit them for approval.

· Assist in coordinating and tracking quantities/coverslips for all prime contracted work.

· Ensure proper documentation is organized and maintained within project files.

· Office management and support of operations team, as necessary.
