Mount Pleasant Office Location (NO REMOTE WORKING) Role Overview As our Operations Specialist, you will be the vital bridge and ultimate quality gatekeeper connecting our clients with our technical execution engine. While our dedicated development team in Dhaka, Bangladesh handles the heavy lifting for website builds and coding, you are the operational owner of ticket accuracy, auditing, and quality assurance. You will interpret ambiguous client feedback, read between the lines of incoming emails, and transform raw client needs into clear, actionable, technical tickets in Asana. Because a major part of this role involves continuous spot-checking and auditing , you will inspect live deliverables against html pages, audit reports before they go out, verify DNS records, test mobile viewports, and confirm that our Dhaka team executed every single detail to perfection before closing the ticket with the client. The ideal candidate is naturally methodical, notices the small things others miss, communicates warmly with business owners and executives, and leverages modern tools like ChatGPT and Gemini to keep work organized and fast. Key Responsibilities 1. Detailed Auditing, Spot-Checking & Quality Assurance Act as the final checkpoint before anything reaches a client: inspect staging and production builds across desktop, tablet, and mobile viewports. Visually audit live web builds against html designs, catching spacing mismatches, incorrect fonts, broken layouts, or styling discrepancies in WordPress ( Divi, Elementor, and Breakdance ). Systematically spot-check and audit recurring client performance reports (traffic, lead tracking, call tracking summaries) to catch data discrepancies, broken links, or reporting anomalies before client delivery. Conduct thorough pre-launch and post-launch checklists for new website launches, verifying forms, redirect paths, SSL certificates, and metadata. 2. Client Communication & Ticket Translation Serve as the frontline point of contact for client emails, change requests, and support tickets. Read between the lines of non-technical, often vague client emails to extract the true underlying request, scope, and priority. Translate client requests into structured, unambiguous tasks in Asana with clear acceptance criteria, screenshots, and visual annotations for our dev team in Dhaka, Bangladesh. Proactively manage client expectations on timelines, providing calm, clear, and reassuring updates. 3. Support Coordination & Asana Workflow Hygiene Maintain ruthless organization and pristine task hygiene in Asana —managing due dates, tags, custom fields, dependencies, and follow-ups. Coordinate daily with our Dhaka development team to clarify ticket details, answer questions, and track deliverables through completion. Follow up directly with clients after work is delivered to ensure every item was resolved to their total satisfaction. 4. Web Launches, DNS Management & Light Updates Manage domain and DNS changes (A Records, CNAMEs, MX Records, TXT/SPF/DKIM) across registrars (GoDaddy, Cloudflare, Namecheap, Google Domains/Squarespace, etc.) with zero room for error. Execute onboarding checklists for new clients, collecting and verifying credentials, intake data, and brand assets. 5. AI-Powered Workflow Efficiency Actively utilize ChatGPT and Gemini to streamline daily operations: Restructuring messy client emails into clean, itemized dev ticket specs and checklists. Drafting polished, professional, and empathetic client communications. Primary Qualifications & Core Competencies Hyper-Organized & Detail-Oriented (Must-Have): You have a natural instinct for order and spot-checking. You catch misplaced punctuation, 5px alignment errors, broken links, and missed subtasks instinctively. Experience: 1+ years of experience in an agency, marketing operations, client coordination, quality assurance, or technical support role. Requirements Translation: Proven ability to read messy, ambiguous client emails and turn them into crystal-clear instructions for a technical team. Auditing & QA Skills: Experience reviewing digital deliverables against mockups and checklists across different devices and screen sizes. Communication: Exceptional written communication; warm, professional, patient, and capable of explaining technical details in plain English. CMS & Builder Familiarity: Practical familiarity with WordPress and page builders ( Divi, Elementor, or Breakdance ) to evaluate site builds and make minor content tweaks. Figma Literacy: Comfort reviewing Figma files to verify layouts, fonts, colors, and asset exports against live pages. Task Management: Practical experience keeping projects organized in Asana (or similar project management tools). DNS Basics: Working knowledge of basic DNS records (A, CNAME, TXT, MX) and domain settings, or a high aptitude to learn. AI Tool Fluency: Daily comfort utilizing ChatGPT or Gemini to accelerate administrative tasks, proofread communications, and organize information.
