Facilities Supervisor
The Facilities Supervisor supervises maintenance and grounds personnel, coordinates daily facilities operations, implements preventive maintenance programs, oversees contractor activities, and ensures compliance with applicable safety and regulatory requirements. The Facilities Supervisor serves as the operational leader responsible for translating departmental priorities into daily work activities, ensuring facilities are maintained in a safe, reliable, efficient, and customer-focused manner. The position works collaboratively with campus departments to support the University's academic mission through responsive facilities services while promoting operational excellence, sustainability, and continuous improvement.
Essential Duties & Responsibilities
- Provide daily leadership, supervision, scheduling, and coordination of maintenance, grounds, and skilled trades personnel.
- Assign work, establish priorities, monitor productivity, evaluate performance, provide coaching, and support employee development.
- Coordinate preventive, predictive, and corrective maintenance programs for buildings, utilities, equipment, and campus infrastructure.
- Conduct routine inspections of facilities and grounds to identify maintenance deficiencies, safety hazards, code compliance issues, and operational needs.
- Coordinate maintenance response for building systems, utilities, mechanical equipment, life safety systems, and campus infrastructure.
- Assist with planning and implementing renovation, deferred maintenance, capital renewal, and infrastructure improvement projects.
- Monitor contractor performance, ensuring work complies with project specifications, schedules, university standards, and safety requirements.
- Collaborate with the Associate Campus Operations Director regarding project priorities, staffing needs, resource allocation, and operational planning.
- Support development and monitoring of maintenance schedules, work orders, asset inventories, equipment replacement plans, and operational records utilizing computerized maintenance management systems.
- Assist with budget administration by monitoring maintenance expenditures, purchasing materials, and recommending cost-effective operational improvements.
- Coordinate operational support for campus events, seasonal operations, emergency response activities, and special projects.
- Ensure compliance with OSHA regulations, environmental standards, building codes, life safety requirements, and university policies.
- Participate in emergency preparedness planning and provide operational leadership during weather events, facility emergencies, utility outages, and other campus incidents.
- Promote sustainability initiatives, energy conservation measures, and best practices that improve operational efficiency and stewardship of university resources.
- Develop and maintain productive working relationships with faculty, staff, students, contractors, vendors, regulatory agencies, and community partners.
- Prepare reports, maintenance documentation, inspections, compliance records, and operational metrics to support informed decision-making.
- Coordinate cross-training initiatives to support workforce flexibility and operational continuity.
- Provide leadership and operational coordination during staff absences, vacancies, and turnover periods.
- Support facilities operations by assisting with operational needs as necessary to maintain continuity of services, while maintaining the primary focus on supervision, coordination, and leadership.
- Recommend improvements to maintenance practices, workflows, staffing, equipment utilization, and service delivery to enhance operational effectiveness.
- Serve as the primary operational representative for campus facilities during the absence of the Associate Campus Operations Director.
- Perform other related duties as assigned.
Supervision Received
General direction is received from the Associate Campus Operations Director. The incumbent exercises independent judgment in coordinating daily facilities operations, establishing work priorities, and resolving operational issues while working within established policies and departmental objectives.
Supervision Exercised
Provides direct supervision of maintenance technicians, grounds personnel, skilled trades employees, and other facilities staff as assigned. Responsible for assigning work, evaluating performance, coaching employees, supporting professional development, recommending personnel actions, ensuring compliance with safety standards, and fostering a collaborative, customer-focused work environment. Functional supervision may also be exercised over contractors, consultants, temporary employees, and project teams.
Minimum Qualifications
Bachelor's degree in Facilities Management, Construction Management, Engineering Technology, Building Systems, Business Administration, plus at least three (3) years of progressively responsible experience in facilities operations, maintenance, construction, or institutional services, including supervisory experience; or a combination of education and experience from which comparable knowledge, skills, and abilities have been acquired.
Preferred Qualifications
- Experience in higher education or a similarly complex institutional environment.
- Experience supervising unionized employees.
- Experience with computerized maintenance management systems (CMMS).
- Experience managing capital renewal or construction projects.

Physical Requirements
Work is performed in both office and outdoor environments and requires regular mobility throughout campus facilities, including mechanical rooms, rooftops, construction sites, and building interiors. The position requires frequent standing, walking, climbing stairs, bending, kneeling, reaching, and occasional climbing of ladders. The incumbent must be able to inspect facilities, access confined or elevated spaces, and operate a motor vehicle to travel between campus locations. The position occasionally requires lifting, carrying, pushing, or pulling materials and equipment weighing up to 50 pounds, with or without reasonable accommodation. Visual acuity, hearing, manual dexterity, and the ability to communicate effectively are required to inspect facilities, operate equipment, and respond to emergencies.
Working Conditions
Work is performed in a combination of office, maintenance, and outdoor environments with frequent exposure to varying weather conditions, noise, dust, construction activities, mechanical equipment, and other conditions commonly associated with facilities operations. Incumbent may be required to work outside of normal business hours, including evenings, weekends, holidays, or during emergency situations, weather events, utility outages, or other operational needs. The incumbent is expected to respond to campus emergencies and participate in emergency preparedness, business continuity, and incident response activities. This is an FLSA-exempt, salaried position based on a standard 37.5-hour workweek.
