Coordinator, Fixed Asset Inventory & Projects This position is responsible for managing and maintaining the College's fixed assets, including maintaining computerized fixed asset records and overseeing the annual physical inventory. It coordinates the implementation of sustainable initiatives, special events, and miscellaneous projects on campus. It serves as an administrative liaison with internal departments and outside agencies as required and back‑up for the space allocation function on campus and/or centers. Responsibilities Daily (25%): Assist the Business Dean, District Finance department and Manager of Campus Facilities in monitoring, controlling, tracking, disposing, and inventorying the Fixed Asset Inventory equipment on the campus and satellite centers. Daily (25%): Serve as an administrative liaison for complex administrative assignments and special projects within the campus and across other college departments and campuses, performing related duties as assigned (e.g., capital equipment inventory process, recycling programs, locksmith efforts). Weekly (10%): Utilize scanners to upload data, organize inventory preparation and review the College’s approved asset software system to ensure accuracy of inventory. Weekly (10%): Assist departments in gathering data to label/asset all equipment over $1,000 for the campus and enter it into the asset software system; work with departments to reconcile scanned items and assist Campus Facilities special projects staff with campus door inventory labeling and management. Quarterly (20%): Prepare monthly and annual reconciliations and reports of the Campus Fixed Asset Inventory for the Business Dean; assist departments in preparing necessary documentation and provide inventory reports. Other (5%): In the absence of the Campus Classroom and Event Scheduler, coordinate the scheduling of room assignments in coordination with staff and administrators and act as the central point of contact with external constituencies for room scheduling and facility rental. Other (5%): Perform related work as assigned. Knowledge, Skills and Abilities Knowledge and skill in fixed asset management inventory and the ability to lead the physical inventory for the campus. General understanding of the College's structure, policies and practices. Ability to contribute in multiple related areas within the function and expertise in [understanding and following] project plans, including coordination of multiple resources and activities. Understanding of and ability to coordinate interdependencies of work within the area and resources from outside the area. Ability to exchange information with individuals and collaborate with colleagues within the College, as well as presentation skills. Requires advanced knowledge of computerized systems and operating environments (Microsoft Office Products, Workday, and Total Recall Asset Software System). Ability to interact and effectively communicate with employee and student populations. Qualifications Minimum Education: Bachelor's degree required; an equivalent combination of education and experience may be considered. Minimum Experience/Training: Four or more years of fixed asset inventory, business office, and operations in a public or private sector environment.
