CLINIC SITE SUPERVISOR

Job Details Location: Mayview Palo Alto - Palo Alto, CA 94306 Salary Range: $72,800.00 - $90,000.00 per year Organization Ravenswood Family Health Network (RFHN) is dedicated to improving community health through culturally sensitive, integrated primary and preventative care, regardless of patients' ability to pay or immigration status. Position Summary The Site Supervisor reports to the Clinic Site Assistant Manager and actively manages daily operations for the entire clinic site. The role focuses on delivering exceptional patient experience, achieving patient access goals, improving patient outcomes, leading a high‑performing workforce, and exercising financial stewardship. Duties and Responsibilities Site Supervision Coordinate day‑to‑day floor operations for front and back office. Build a team that consistently meets and exceeds organizational goals. Directly supervise primary care medical assistants and back‑office volunteers, and provide general supervision of site support staff and volunteers. Arrange onboarding orientation, ongoing training, supervision, and evaluation of direct reports; ensure compliance with policies and care protocols. Conduct new staff orientation sessions and in‑service training as needed; identify training needs. Provide hands‑on coaching and use accountability tools to ensure competency and validation of work assignments. Conduct monthly department staff meetings to discuss performance, operational issues, improvement activities, and policies. Resolve staff performance issues and complaints together with the Clinic Site Assistant Manager. Complete daily prefill huddle sheet. Conduct weekly or biweekly one‑on‑ones with direct reports to discuss challenges, career goals, and concerns, and provide constructive feedback. Oversee work assignments and daily operations, including MA pool and in baskets, N drive, wait‑list management, chart scrubbing, and provider boxes. Participate in annual performance evaluations and recommend merit increases, promotions, and disciplinary actions. Assign and ensure completion of job assignments and work schedules for back‑office support staff; manage day‑to‑day coverage and coordinate coverage with other site supervisors as needed. Patient Care Address patient complaints and file incident reports in Resolver. De‑escalate patient conflicts and practice empathetic communication. Participate actively in the clinic site’s Quality Improvement program. Ensure accurate and complete patient record documentation and strict confidentiality. Step in as a medical assistant as needed while maintaining care flow. Monitor provider schedules for access issues and daily patient flow. Jockey the patient schedule to maintain efficient clinic flow. Operations Partner with leadership peers to drive operational excellence across the patient journey and outcomes. Deliver an exceptional patient experience, uphold the department culture aligned with RFHN’s mission, vision, and values. Open clinic doors at 7:30AM, disarm the clinic in a timely manner, and stay until the last patient leaves before re‑arming. Ensure culturally and ethically appropriate customer service by all clinic staff and volunteers. Collaborate with Maintenance and Central Supply to order, deliver, store medical supplies and maintain equipment. Collaborate with Vaccine Manager to maintain vaccine inventory, storage, and handling; ensure at least 10 doses of each vaccine are in stock, submit weekly inventory, and complete temperature logs. Distribute and collect money bags from the front desk and deliver collections to Facilities and Billing. Maintain up‑to‑date compliance postings and promote employee and patient safety. Work closely with providers to ensure clinical tasks are performed in compliance with regulations. Recommend updates to Policies and Procedures with the Clinic Site Assistant Manager. Ensure adherence to labor laws and regulations for hourly staff. Support proper disposal of medical waste and sharps. Collaborate with the Compliance Department on federal, state, and local regulations. Participate in improving back‑office operational systems; oversee duties such as daily huddles, chart scrubbing, agenda setting, care‑gap closing, inbox management, portal follow‑up, and discharge follow‑up. Create succession plans for direct reports and boost employee engagement to reduce turnover. Support interpretation and translation needs for providers and patients. General Agency Duties Promote a trusting environment among patients and staff; maintain strict confidentiality. Promote RFHN’s mission, goals, policies, procedures, and principles among staff. Participate in outreach activities, agency advocacy, and ad‑hoc committees as requested. Qualifications Bachelor’s degree in health, nursing, or business administration with two years of outpatient clinic experience, or five years as a Medical Assistant. Knowledge of electronic practice management systems. Previous lead, supervisory, or management experience in an outpatient setting or with transferable duties. Demonstrated ability to engage, motivate, communicate, and lead by example. Proficient in performing clinical duties according to standards. Excellent verbal and written communication skills. Spanish language proficiency highly preferred. Computer literacy and familiarity with Microsoft Windows. Experience in effective outpatient clinic operations. Initiative, independent judgment, and problem‑solving expertise. Positive, calm, and effective leadership for back‑office and front‑office services. Ability to motivate, train, and work respectfully with a culturally diverse staff. Collaboration skills with management, patients, the public, community members, and external agencies. Adherence to confidentiality standards. Current COVID‑19 vaccination per CDC guidelines strongly recommended. The salary range for this position is $72,800 to $90,000 annually. The final base salary will be determined by factors such as scope and responsibilities, qualifications, experience, education, certifications, and departmental budget.
