Entry-Level Legal Assistant / Receptionist

About the Position

A.R. Pike Law Firm is seeking a welcoming, organized, and empathetic Legal Assistant / Receptionist to help create an outstanding client experience from the first phone call.

You will primarily manage incoming calls, schedule appointments, conduct initial intakes, and track prospective clients through Clio Grow. You’ll help people feel heard and understand their next steps while keeping information accurate and follow-up on track.

Our clients may be planning for their family’s future, caring for an aging loved one, or navigating a loss. We’re looking for someone who brings patience and compassion to these conversations and can also handle frustrated or demanding callers with calm confidence and respectful boundaries.

Customer service and hospitality experience are highly valued. Prior legal experience is not required.

What You’ll Do

• Answer incoming calls with warmth, professionalism, and attention to each caller’s needs.
• Welcome clients and visitors and create a positive first impression.
• Schedule consultations and appointments, confirm details, and manage calendar updates.
• Conduct initial intakes, gather essential information, and document conversations accurately.
• Maintain prospective client records in Clio Grow, update lead status, and track next steps.
• Follow up with prospective clients promptly so inquiries and scheduling needs receive attention.
• Handle sensitive or challenging conversations with empathy, composure, and sound judgment.
• Recognize when a question or concern needs an attorney or another team member’s attention.
• Protect confidential information and assist with everyday administrative tasks.

Experience in hotels, restaurants, retail, reception, call centers, or other customer-facing roles can translate well to this position. Clio Grow or other customer relationship management software experience is a plus.
