Junior Creative Project Coordinator

Job Overview Balsam Brands is looking for a proactive, resourceful, and innovative project coordinator to join our Creative Operations Team. The role focuses on coordinating incoming creative requests in a fast-paced environment and driving integrated campaigns, digital projects, print, and growth team projects such as catalog, postcards, and packaging. This full‑time position reports to the Creative Operations Lead and follows a hybrid model with Monday, Tuesday, and Wednesday in‑office days. Key Responsibilities Manage intakes, assign teams, provide brief reviews & project kick‑offs, and create/manage Jira or comparable project tickets. Oversee day‑to‑day execution of creative tasks, product launches, campaigns, and initiatives from kickoff to completion. Create and manage work‑back schedules, timelines, and streamline workflows; continuously evaluate and improve processes to increase efficiency. Identify resources needed and collaborate with creative leads on task assignment and milestones; proactively remove obstacles and communicate blockers. Lead or attend weekly project meetings with creative/marketing directors, prepare agendas, take detailed notes, and provide status reports. Maintain accountability among creative team members and stakeholders for project completion. Coordinate closely with designers and copywriters on hand‑offs, internal/external deliverables, and review schedules. Ensure all necessary assets are reviewed, approved, and delivered on‑time to cross‑functional partners. Create and maintain internal project trackers, notes, status documents, budgets, and other planning artifacts. Plan and conduct end‑of‑year retrospectives to review past processes, recommend efficiencies. Collaborate closely with production team, vendors, and freelancers as needed. Track and report project costs. Required Experience & Qualifications 3+ years of Creative Project Management or coordination experience, preferably with eCommerce exposure. Strong understanding of creative production workflows and timelines. Proficiency in Microsoft Office, Jira, Confluence, and other project management software. Ability to juggle multiple projects with varying complexity simultaneously. Excellent prioritization skills and time management to ensure on‑time delivery. Experience working with in‑house creative teams. Exceptional written and verbal communication skills. Strong attention to detail and organizational abilities. Capability to motivate a creative team and foster a collaborative environment. Experience managing project budgets and tracking expenses. Ability to build and maintain positive relationships with internal clients and understand their needs and expectations. Strong teamwork and collaboration skills. Willingness to embrace new ideas, techniques, and technologies to drive creativity and innovation within a scaling team.
