Research Coordinator

The Dementia Epidemiology Research Program within the Department of Psychiatry conducts NIH-funded, population-based research focused on aging and dementia among older adults in the Monongahela Valley. Our team is dedicated to advancing the understanding of cognitive aging through community-based research and participant engagement. Our academic offices are located in Oakland, while research field operations are based in White Oak and Braddock. Staff in our field locations play a key role in conducting participant assessments, collecting research data, and performing data entry and processing to support ongoing studies.

The Administrative and Research Coordinator provides comprehensive administrative, fiscal, and research support for a busy academic research program. This role manages budgeting, purchasing, contracts, reimbursements, grants administration, and HR-related processes while supporting faculty and research staff with grant submissions, manuscripts, and other scholarly activities. The position also coordinates meetings, events, and partnerships with internal and external stakeholders and serves as a key liaison across UPMC and University of Pittsburgh systems. The ideal candidate is highly organized, detail-oriented, and possesses exceptional interpersonal and communication skills.

Responsibilities

Coordinate and manage administrative activities, including budgeting, purchasing, contracts, reimbursements, and HR-related processes in accordance with institutional policies and procedures.

Support fiscal operations by working within both UPMC and University of Pittsburgh financial systems to process and track departmental transactions.

Collaborate with UPMC and Pitt Information Technology teams, including the Office of Academic Computing (OAC) at Western Psychiatric Hospital, to address technology-related needs and support departmental operations.

Organize and coordinate meetings, conferences, seminars, community events, and other departmental activities.

Serve as a liaison with external organizations, including businesses, universities, publishing houses, and professional associations.

Conduct literature searches and assist faculty and research teams with academic and research-related projects.

Support the preparation, submission, and management of NIH grant applications, progress reports, manuscripts, and other scholarly materials.

Assist with pre-award and post-award grants administration in collaboration with the Office of Grants and Contracts (OGC) and other institutional partners.

Maintain accurate records, track deadlines, and ensure compliance with funding agency and institutional requirements.

Provide exceptional customer service and foster positive working relationships with faculty, staff, research participants, and external stakeholders.

Utilize strong organizational, communication, and interpersonal skills to support a fast-paced academic and research environment.

B.A. degree, or equivalent combination of experience and training - including 3-5 years of experience in coordinating multiple aspects of research projects (patient recruitment, assessment, treatment planning, and data collection,) required.

Computer Skills (Microsoft Office Products).

IRB experience preferred.

Ability to accurately collect, and store research data.

Excellent communication skills both verbal and written.
