Bilingual Part-time Office and HR Coordinator

Location: On-site in Lebanon, Pennsylvania
Schedule: Part-time, approximately 20–30 hours per week within regular business hours
Pay: $20 to $24 per hour, depending on experience
Language: English and Spanish fluency required

About the role
We are Converge HR Solutions, a Human Resources consulting and outsourcing firm based in the Philadelphia, PA area. We seek a self-sufficient, bilingual Office and HR Coordinator to support our client’s day-to-day office needs, their employees, and their hiring process at their Lebanon, PA facility. The coordinator will be a visible on-site resource, helping Spanish-speaking employees access information and support, welcoming interviewers and visitors, and keeping their key administrative processes organized.

The coordinator will work closely with our client’s leadership and Converge HR Solutions. This role carries out established processes and brings questions or concerns to the appropriate HR or management contact.

Key Responsibilities
Office and applicant coordination

• Answer the office phone and greet visitors at the front desk.
• Welcome applicants and contact the appropriate supervisor or plant manager when they arrive.
• Coordinate interview schedules and on-site logistics with Converge HR Solutions and the managers.
• Support employee activities, such as employee meetings, the holiday party, and other company gatherings.

Employee and bilingual support

• Provide clear, professional English-to-Spanish interpretation for employee meetings, workplace communications, events, and routine employee questions.
• Support Spanish-language employee meetings and help employees connect with the appropriate manager or HR contact.
• Help employees understand routine workplace information; refer policy, disciplinary, or complex HR questions to the designated HR partner or manager.
• Maintain a welcoming and respectful presence for employees, applicants, and visitors.

HR administration

• Support digital onboarding and complete in-person Form I-9 verification in accordance with established procedures.
• Maintain the attendance point system in the Odyssey timekeeping system, following company policy and escalating concerns or exceptions.
• Coordinate employee perks and supplies, including company shirts.
• Assist with routine recordkeeping and administrative tasks while handling employee information confidentially.
• Learn and use the client’s systems, including Odyssey and Paylocity, as needed for the role.

Communication and escalation

• Keep Converge HR Solutions and BQC managers informed about recurring employee questions, administrative issues, and matters needing follow-up.
• Refer employee relations, investigations, leave, workers’ compensation, payroll, and other specialized HR matters to the designated HR or management contact.

Qualifications
Required

• Previous experience in office administration, employee support, customer service, or HR coordination.
• Fluency in Spanish and English, with the ability to interpret routine workplace conversations accurately and professionally.
• Strong organization, follow-through, and attention to detail.
• Ability to work independently on-site and prioritize day-to-day responsibilities.
• Professional, approachable communication and good judgment about when to escalate a question.
• Confidential discretion when handling employee information.
• Strong computer literacy with tools like Outlook, Word, Excel, and Teams.
• Comfortable learning new digital systems and following established processes.

Preferred

• Previous experience with HRIS or timekeeping systems.
• Experience supporting a manufacturing, industrial, or hourly workforce.

• Spanish-speaking employees have a reliable on-site resource.
• Applicants and visitors are welcomed and directed promptly.
• Onboarding and I-9 steps are completed accurately and on time.
• Attendance records are maintained consistently, with concerns escalated appropriately.
• Employee activities and routine administrative needs are coordinated smoothly.
• HR questions reach the right person, without the coordinator being expected to make decisions outside the role.
