Front Desk Patient Care Coordinator

Hours: 34–40 hours per week

We're looking for a friendly, dependable, and motivated individual to join our growing optometry practice. This is an excellent opportunity for someone who enjoys providing outstanding customer service and wants to develop new skills while growing professionally.

As the first person our patients see and speak with, you'll play an important role in creating an exceptional patient experience from check-in to check-out.

What You'll Do

Your responsibilities will include:

• Welcome every patient and guest with a warm, professional attitude.
• Check patients in, prepare intake paperwork, and update patient information.
• Maintain awareness of patient flow and communicate effectively with doctors and technicians to keep the schedule running smoothly.
• Prepare charts for upcoming appointments.
• Verify insurance eligibility and assist patients with insurance questions, including contacting patients when coverage cannot be verified.
• Check patients out, collect payments, and explain balances when needed.
• Schedule, confirm, and manage patient appointments efficiently.
• Answer incoming phone calls, respond to patient inquiries, and address concerns professionally.
• Monitor and respond to the office email account.
• Maintain an organized filing system and chart room.
• Keep the reception area clean, welcoming, and seasonally decorated.
• Assist the Office Manager with administrative projects.
• Dispense eyeglasses and contact lenses.
• Provide support to technicians and opticians as needed.

Physical Requirements

• Ability to stand, walk, and move throughout the office intermittently during the workday.

Required Qualifications

• Minimum 2 years of customer service experience .
• Minimum 3 years of computer experience .
• Basic math skills and the ability to use a calculator confidently.
• Comfortable using computers and learning practice management software.
• High school diploma or equivalent preferred.

Work Schedule

34–40 hours per week

Required Schedule

• Monday: 9:00 AM – 5:00 PM
• Tuesday: 8:00 AM – 5:00 PM
• Wednesday: Off
• Thursday: 9:00 AM – 5:00 PM
• Friday: 8:00 AM – 5:00 PM
• Saturday: 8:00 AM – 12:00 PM (Required – Non-Negotiable)

The office is closed daily for an unpaid lunch from 12:00 PM – 1:00 PM .

Additional hours (up to approximately 6 hours per week) may be available with manager approval based on business needs.
