We are seeking a Recruiting Operations Coordinator to serve as the operational backbone of our team. This multi-faceted role combines high-volume recruitment support, digital brand engagement, and internal technology coordination. Role Overview

As our Recruiting Operations Coordinator, you will manage detailed candidate logistics, champion our recruitment marketing efforts, and act as our internal tech resource. You will balance meticulous administrative execution with proactive problem-solving, ensuring our recruiting processes, communication channels, and systems operate at peak efficiency.

Key Responsibilities

Recruiting & Operational Support (60%)

• High-Volume Interview Logistics: Coordinate and schedule detailed, multi-stage interview loops with a zero-error standard for calendar invites, confirmations, and logistics.
• Candidate Experience & Onboarding: Draft and distribute candidate prep communications and placement documentation.
• Data Integrity & ATS Maintenance: Maintain timely, precise candidate activity records and tracking within our Applicant Tracking System.
• Contract & Payroll Coordination: Process contract and temporary placements, track weekly missing timesheets, and serve as the primary internal liaison with our payroll partners.
• Division Reporting: Monitor, compile, and report division-wide performance metrics to support leadership decision-making and operational strategy.

Recruitment Marketing & Content Creation (20%)

• Brand Engagement: Develop, draft, and publish engaging, brand-aligned content across LinkedIn and other social media to showcase client culture, highlight open roles, and amplify J2T’s market presence.
• Campaign Support: Assist in executing clear, compelling recruitment marketing campaigns designed to engage active and passive talent pools.

Internal Technical Support & Process Optimization (20%)

• Tech Stack Coordination: Serve as the primary internal contact for user access, permissions, software integrations, and basic configurations across our recruiting systems and tools.
• System Troubleshooting: Troubleshoot common software issues, assist with AI-enabled workflows or automation tools, and lead user adoption of new technologies.
• Workflow Continuous Improvement: Identify operational bottlenecks and suggest technical or process enhancements to streamline team efficiency.

Qualifications & Skills

• Experience: 3+ years of experience in recruiting coordination, talent acquisition operations, or a fast-paced, high-volume administrative support role.
• Education: Associate’s or bachelor’s degree in business or related field.
• Technical Aptitude: Proven capability to pick up new software quickly, adapt to evolving AI-driven tools, manage ATS platforms, and troubleshoot technical issues for a team.
• Detail Orientation: Exceptional organizational skills with a demonstrated ability to execute complex tasks flawlessly.
• Communication: Polished, professional, and clear communication style across email, messaging, and virtual meetings.
• Proactive Mindset: High level of ownership, natural curiosity to understand broader operational goals, and an ability to work independently in a remote environment.
