Radiology Office Assistant - Full Time

JOB SUMMARY

Responsible for providing clerical and administrative support to Radiology/Cardiology staff, including answering telephones, multi-modality scheduling, coordination of patient appointments, and collaboration with the Utilization Review (UR) team for insurance authorization requirements.

SPECIFIC ELEMENTS AND ESSENTIAL FUNCTIONS

• Schedules patient testing and procedures for multiple modalities in Radiology and Cardiology; reviews orders for completeness and provides patients with appointment, arrival, and preparation instructions.
• Identifies examinations requiring insurance prior authorization and routes the necessary scheduling, order, and insurance information to the Utilization Review (UR) team according to established workflow.
• Works collaboratively with the UR team to track authorization status and outstanding requirements. Communicates scheduling concerns related to pending authorizations and assists with rescheduling when authorization is not obtained within the required timeframe.
• Answers telephones, routes callers and messages, and provides routine information with professional courtesy, accuracy and speed. Coordinates communication with patients, physician offices, technologists, Radiology/Cardiology staff, and other hospital departments.
• Establishes, organizes, and maintains files, information and records. Accurately documents scheduling activity, appointment changes, cancellations, no-shows, and relevant communications.
• Coordinates urgent and STAT examinations with Radiology/Cardiology staff and the UR team when authorization requirements apply. Escalates clinical questions, protocol concerns, authorization issues, or scheduling conflicts to the appropriate staff or supervisor.
• Maintains a clean and organized office environment, including ensuring sufficient copies of required documentation, filing records, and sending/receiving faxes as appropriate.
• Assists with obtaining prior imaging studies, reports, laboratory results, implant/device information, medical records, or other documentation required for scheduled examinations. Completes requests related to special projects and assignments as needed.
• Assists in maintaining compliance with accreditation bodies and internal/external regulatory standards, including HIPAA and the Code of Conduct. Performs other Radiology/Cardiology scheduling and administrative duties as assigned.

PRIOR AUTHORIZATION / UTILIZATION REVIEW WORKFLOW

• The Radiology Office Assistant facilitates the authorization workflow but is not primarily responsible for obtaining insurance authorization. The scheduler identifies cases requiring authorization and communicates or routes the necessary information to the Utilization Review (UR) team. The UR team is responsible for initiating, obtaining, tracking, and documenting prior authorizations, including payer communication and authorization-related clinical requirements. The Radiology Office Assistant works collaboratively with UR to ensure examinations are appropriately scheduled based on authorization status.

Hours: Full Time, Monday – Friday. 9:00 AM – 5:00 PM

Salary: $19.49 - $22.24 per hour based on experience.

Requirements

EXPERIENCE

• Required: Experience with patient scheduling, registration, medical terminology, insurance requirements, and prior authorization workflows. Experience working collaboratively with a Utilization Review team preferred.
• Office management experience.

EDUCATION

• High School Diploma required, Associates Degree preferred.
• Bi-Lingual Spanish preferred

• Proficiency in Microsoft office and medical terminology
• Multi-tasking capabilities a must
• Strong organizational, interpersonal relationship and communication skills
