Lead Medical Support Assistant

Summary This is a Work Leader position. The Lead MSA is responsible for answering questions for lower‑graded staff relating to healthcare services in an inpatient or outpatient setting. Qualifications Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements United States Citizenship: Non‑citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA policy. Experience: No experience required. Education: High‑school diploma, GED equivalency certificate, or proficiency certificate from a state or territorial‑level board or department of education. Licensure/Certification/Registration: None. English Language Proficiency: Candidates must be proficient in spoken and written English in accordance with 38U.S.C. §7403(f). Grandfathering Provision: May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Lead Medical Support Assistant – GS‑6; one year of experience equivalent to the GS‑5 grade level. Responsibilities Answer questions for lower‑graded staff regarding healthcare services in inpatient and outpatient settings. Monitor and assign work, provide performance input, resolve daily workplace issues, and maintain efficient workflow. Ensure coverage of all areas of responsibility. Conduct ongoing reviews to ensure quality of work. Ensure accurate and timely scheduling of appointments. Provide guidance to staff, including changes in policies and procedures. Distribute and balance workload, create and maintain employee work schedules. Orient and provide on‑the‑job training for new and current employees, ensuring all training requirements are met. Organize the work structure of assigned areas and act as a liaison between MSA and staff to resolve day‑to‑day conflicts. Perform higher‑level duties that involve significant scope, administrative independence, complexity, and variety at least 25% of the time. Demonstrated Knowledge, Skills, and Abilities Communicate effectively with individuals to obtain desired outcomes and ensure compliance with policies and regulations. Organize work, set priorities, and delegate tasks and responsibilities to meet deadlines. Provide staff development and training. Manage staffing requirements, priorities, and coordinate with unit staff to complete duties accurately and timely. Follow up on pending issues and demonstrate understanding of the impact of incomplete work. Review and monitor data to ensure all reports are complete and accurate. Interpret a wide variety of provider orders for inpatient and outpatient care, including diagnostic tests, medications, and treatment activities; enter data into Vista. Extract documents for clinic visits, check in/out clinic visits, issue meal tickets, set up suspense files, and notify on death cases. Keep Pharmacy Service informed of patient movements, discharges, and transfers. Schedule medical appointments in a clinical setting. Physical Requirements Typical for the occupation; may require standing, lifting, carrying, sitting, stooping, bending, pulling, and pushing. May require wearing personal protective equipment and annual TB screening. Work Environment Office/clinic setting with normal safety precautions. Adequately lighted, heated, and ventilated. Requires the ability to handle several tasks at once and work in sometimes stressful situations. Duties Perform administrative functions supporting patient care for assigned clinical programs. Provide educational sessions to train new employees in clerical processes. Utilize VA policies and guidelines for scheduling patient appointments and pre‑appointment requirements. Monitor clinic access and insurance usage at appointments. Keep abreast of changing regulations and software updates. Assist with cleanup of encounter reports and recall reports. Support clinics with utilization and profile management. Screen and receive phone calls courteously and timely. Prepare correspondence and memos as needed. Promote veteran registration for and utilization of MyHealthyVet. Maintain office supplies for executive suite. Enter veterans seeking emergent/urgent care scheduling appointments accurately. Update patient demographics and interact with patients appropriately. Ensure all proper VA forms are used correctly. Perform additional tasks assigned by the supervisor to ensure efficient daily operations. Work Schedule Monday through Friday, 7:30 a.m. to 4:00 p.m. (subject to change based on service needs). Benefits and Compensation Competitive salary with regular increases. Paid time off: 37–50 days annually (13–26 days annual leave, 13 days sick leave, 11 paid federal holidays). Parental leave: Up to 12 weeks paid after 12 months of employment. Child‑care subsidy: Eligible employees may receive up to 25% of eligible childcare costs up to monthly maximum of $416.66 after 60 days. Retirement: Traditional federal pension (5‑year vesting) and federal 401(k) with up to 5% contributions by VA. Insurance: Federal health, vision, dental, term life, long‑term care programs.
