Program Specialist ITexas A&M International UniversityDept, Fine & Performing ArtsJob Location: Laredo, TexasJob Type: StaffSalary: $17.54/hourJob SummaryThe Program Specialist I, under general supervision, performs entry-level specialist duties for a department, college, or division.Essential Duties and ResponsibilitiesAssists in planning, developing, implementing, coordinating, and monitoring programs and services.Plans and develops specialized programs such as conferences, seminars, lectures, meetings, and workshops to facilitate program goals.Coordinates specialized program communications and marketing materials.Assists in the development of policies and procedures.Assists in the preparation and maintenance of budgets, special reports, and other documents.Attends meetings and conferences to discuss the progress of assigned programs.Additional Duties and ResponsibilitiesCoordinates departmental events and activities, including concerts, recitals, auditions, exhibitions, lectures, and special programs.Assists with scheduling facilities and managing ongoing schedule changes related to departmental programming.Coordinates guest artist logistics and works with university offices to facilitate contracts, agreements, and related documentation.Works with university offices and external organizations to support scheduling, contracts, approvals, purchasing, event logistics, and other administrative processes with minimal supervision.Supports departmental communications and promotional efforts in collaboration with University Public Relations, including event announcements, programs, posters, website updates and social media content.Serves as a point of contact for faculty, students, staff, and external partners regarding departmental events and activities.Maintains records, manages and monitors multiple projects, deadlines, and approvals to ensure timely completion of assigned tasks.Attends meetings and conferences to departmental initiatives.Minimum RequirementsEducation – Bachelor's degree in related field such as Arts Administration, Communications, Marketing, Business, or a closely related discipline.Experience – No prior experience required.Preferred Education and ExperienceExperience - One year of administrative, event coordination, customer service, office support, or related experience.Supporting academic programs, events, or arts-related operations in a higher education or arts organization setting.Knowledge and AbilitiesKnowledge of:Word processing and spreadsheet applications.Ability to:Multitask and work cooperatively with others.Excellent verbal and written communication skills.Strong interpersonal, organizational, and customer service skills.Maintains attention to detail and utilizes sound judgment.Preferred Knowledge and AbilitiesKnowledge of event coordination, scheduling processes, contract administration, and marketing and promotional workflows.Ability to coordinate multiple activities, deadlines, and administrative processes simultaneously.Communicate effectively with faculty, students, staff, and external partners.Adapt to frequent schedule changes while maintaining attention to detail and follow-through.Ability to support event promotion through social media and other communication channels.Licensing / Professional Certification – NonePhysical Requirements – General office environmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
