Attendance Clerk

Reports To: Principal Terms: 196 Days
Department: Assigned Campus Pay Grade: CL3
Primary Function
Maintain accurate attendance records for the campus. Under close supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.

Qualifications
Education/Certification: High school diploma or (GED)
Special Knowledge/Skills
Ability to use software to develop spreadsheets and databases, and do word processing Proficient in keyboarding, 10-key numerical data entry, and file maintenance Ability to meet established deadlines Strong organizational, communication, and interpersonal skills
Experience
School clerical experience, preferred
Essential Job Functions
1. Collect and enter attendance and PEIMS data into an established database and verify accuracy according to prescribed procedures.
2. Maintain student records and process requests for student information and transcripts. Process new student records, including requesting transcripts and records from other schools.
3. Assist parents, students, and faculty with questions regarding student attendance.
4. Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrators.
5. Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
6. General clerical support including word processing, data entry, filing, and file maintenance.
7. Receive, distribute, and ensure security and confidentiality of enrollment records.
8. Maintain confidentiality.
9. Reliable attendance and punctuality.
10. Follow district safety protocols and emergency procedures.
11. Participate in staff development activities to improve job-related skills.
12. Comply with state, district, and school regulations and policies for clerical employees.
13. Attend and participate in faculty meetings and serve on staff committees as required.
14. Comply with policies established by federal and state law, State Board of Education rule, and local board policy.
15. Comply with all district and campus routines and regulations.
16. Perform other duties as assigned by the Superintendent of Schools.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions, frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 25 pounds)
Mental Demands: Work with frequent interruptions; maintain emotional control under stress; understand the need for continued flexibility based around the complex needs of students with behavioral needs
Environment: Indoors including but not limited to: classroom, cafeteria, library, or other campus location. Outdoors (exposure to sun, heat, cold, and inclement weather). Exposure to noise. May work prolonged or irregular hours. A remote location in the event of a declared emergency, temporary closure, or closure.
Personal Protective Equipment may be required.
