Maintain accurate invoice records and assist with accounts payable documentation. Track department budgets and monitor expenditures. Organize and maintain contracts, agreements, and important business records. Sort, distribute, and manage incoming and outgoing mail. Coordinate meetings, conference rooms, calendars, and scheduling. Order lunches and coordinate refreshments for meetings and team events. Assist with property tax and business tax filing documentation. Prepare reports, spreadsheets, and administrative correspondence. Maintain organized electronic and paper filing systems. Support multiple departments with general administrative and project-related tasks. Assist with special projects and additional office responsibilities as assigned. Qualifications Previous experience in an Administrative Assistant, Office Administrator, Executive Assistant, or Office Coordinator role. Strong organizational skills with exceptional attention to detail. Excellent communication and interpersonal skills. Positive, professional attitude with a willingness to support the team. Ability to prioritize multiple projects while meeting deadlines. Self-motivated and able to work independently with minimal supervision. High level of professionalism and discretion when handling confidential information. Stable work history with a demonstrated commitment to reliability and dependability. Technical Skills Proficient in Microsoft Office Suite, including: Microsoft Excel Microsoft Word Outlook Teams Experience using Microsoft Copilotor other AI productivity tools is preferred. Comfortable learning new software and technology platforms. Preferred Qualifications Experience tracking budgets and contracts. Experience supporting finance or accounting-related administrative functions. Experience in processing invoices or working with accounts payable documentation.
