Billing Administrator

A well-established General Contractor is seeking a detail-oriented Billing Administrator to support preconstruction and project operations at its Jacksonville, FL location. This role is responsible for performing a wide range of confidential administrative and accounting support functions, with a strong emphasis on certified payroll and government contract billing . The ideal candidate will be highly organized, deadline-driven, and comfortable supporting multiple stakeholders in a fast-paced construction environment.

• Process and maintain certified payroll in compliance with federal, state, and local government contract requirements
• Support project and government billing , ensuring accuracy, compliance, and adherence to strict submission deadlines
• Assist preconstruction and project teams with administrative support, documentation, and reporting
• Review, process, and track invoices, billings, and supporting documentation
• Prepare correspondence, reports, memorandums, and other business documents using standard office software
• Maintain a high level of confidentiality when handling payroll, billing, and employee information
• Organize and maintain electronic and physical filing systems
• Answer and route phone calls, record messages, and professionally greet visitors
• Coordinate incoming and outgoing mail and general office communications
• Perform clerical and administrative tasks efficiently while managing frequent interruptions
• Support additional administrative duties as assigned

• High school diploma required; associate or bachelor's degree preferred
• Minimum of two years of administrative or clerical experience
• Construction industry experience strongly preferred , with exposure to federal or government-funded projects a plus
• Working knowledge of certified payroll and compliance documentation preferred
• Experience supporting billing or accounting functions in a project-based environment
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and database/spreadsheet tools
• Strong written and verbal communication skills
• Ability to work independently, manage competing priorities, and meet strict deadlines
