Job Description

This position exists to ensure that all financial aid statutes, rules, and regulations are adhered to with regards to hiring and supervising student employees in the Financial Aid Office which includes strict confidentiality of student account information. This position also exists to make sure the office adheres to all regulations regarding the University’s Consortium Agreement, Federal TEACH Grant, MN TEACH Grant, NCAA Compliance program, and front office data processing activities. This position provides advice and counsel to prospective and current students, high school counselors, family members, and University staff. Specifically, this individual will manage the application, awarding, and disbursement functions related to various financial aid programs. Supervision and training of Financial Aid Office student employees to ensure federal, state, system, and institutional regulations are known and followed are also primary responsibilities of this position.

Responsibilities and Results

Supervisor to Student Employees: Provide training, guidance, and instruction that student employees need to be successful. Supervisors are responsible for anticipating the department’s needs related to student employment. Develop a strategy for finding and hiring the right student employees. Gathers, defines, and assigns student employees jobs that are necessary to the department’s operation. Proper orientation to the job is essential and should be conducted for all new student employees. Develop a well-planned training program to ensure that student employees have the information and skills to do their jobs. Establish internal policies and clearly communicate expectations to ensure that each student employee understands the rules. Perform annual job performance evaluations. Talk with each student in person to explain any performance issues and discuss ways the student can improve. Establish data processing procedures and opening and distributing the incoming office mail so that all written communication is forwarded to the proper individual on a timely basis. This requires participation in the development and evaluation of office policies and procedures. It also requires continuous attention to changes in federal, state and system regulations to ensure institutional compliance . (30%)

Financial Aid Counseling : Provide information, advice and counsel to prospective and continuing students, parents, high school counselors, and other clientele regarding financial aid programs, procedures, eligibility, costs, regulations, and debt management. Knowledge of policies and procedures for related areas such as Admissions, Records & Registration, Student Accounts, and Academic Advising must be integrated into this work. This responsibility includes making presentations to groups both on and off campus. (40%)

Program Processing and Regulations: Monitor and answer emails in the main financial aid email inbox. Administer and oversee Consortium Agreements Determine if the student is eligible for additional financial aid based on credits being taken at a different institution. Working in conjunction with Academic Advisors or the Advising Center to determine course eligibility toward a student’s program of study. Processing a student’s financial aid award file in a timely manner to update awards as appropriate. Additionally, coordinate the Federal TEACH Grant and MN Teacher Grant programs. Ensure that students are informed of the availability of these funding sources, applications are reviewed and processed in a timely manner, and the programs operate within the appropriate rules and regulations. NCAA Compliance: Serve as primary contact and resource person for the men’s and women’s athletic departments so that all the athletic gran-in-aids are processed accurately to ensure that the institution is in compliance with all Northern Sun Intercollegiate Conference (NSIC), Western Collegiate Hockey Association (WCHA), and National Collegiate Athletic Association (NCAA) rules and regulations, budgets are entered and prepared, eligibility is monitored, and all correspondence is prepared in a timely manner. Data Processing: Primary activities involve determining task priority, monitoring work progress, coding required data, working so that documents are screened, coded, and imaged in a timely and accurate manner. All with a high level of confidentiality sufficient to adhere to federal and state laws and regulations (FERPA), institutional and departmental policies. (5%)

Other Duties : Lead or assist with other duties as assigned to ensure students receive outstanding service and financial aid programs are administered according to all federal, state, system, and institutional regulations. (5%)

Minimum Qualifications

• Master’s degree in any field; or Bachelor’s degree in any field plus one year of professional experience in student aid administration, admissions, counseling, advising, or relevant administrative work;

• Experience with providing work direction.

• Computer software and web technology skills sufficient to administer financial aid programs

• Ability to deliver high quality customer service while integrating knowledge and information from multiple interrelated sources

• Ability to receive and maintain access to federal student aid databases

Preferred Qualification

• Direct Financial Aid experience

• Student employment supervisory experience

• ISRS experience

Other Requirements

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 30 pounds.

Work Shift (Hours / Days of work)

40-hour week in an office setting. This position will have a primary work site of the St. Cloud main campus. Travel to other sites, occasional evening and weekend work, and occasional overnight travel are expected.
