Special Events Manager

The Special Events Manager owns full-cycle sales and event servicing for social, catering, and private dining events across BHC venues. This role generates revenue through proactive selling, manages the client relationship from initial inquiry through post-event follow-up, and coordinates every operational detail required to execute events to BHC's standard.

This is a revenue-producing role with direct accountability for sales targets. The Manager builds a pipeline, closes business, and then delivers on the promise made during the sale. The quality of the event is the quality of the next sale, and this role owns both sides of that equation.

Job Description

Sales, Pipeline, and Revenue Generation

• Respond promptly to inbound catering and social event inquiries across phone, email, and web channels.
• Conduct venue consultations, site tours, and tastings with prospective clients.
• Build customized proposals, menus, and contracts tailored to client needs, event scope, and budget.
• Negotiate pricing, minimum spend requirements, and contract terms in accordance with BHC policies.
• Build and maintain relationships with repeat clients, corporate accounts, wedding planners, and social event planners.
• Track leads, bookings, and pipeline activity in the CRM and booking system.
• Meet or exceed monthly and annual sales targets for social and catering events.

Event Planning and Execution

• Serve as the primary point of contact for booked clients from contract signing through event completion.
• Prepare and distribute Banquet Event Orders (BEOs) to all relevant departments.
• Coordinate with culinary, banquet, service, and bar teams on menus, timelines, staffing requirements, and logistics.
• Manage floor plans, A/V requirements, decor, and vendor coordination including florists, entertainment, and rental companies.
• Conduct pre-event walkthroughs and final detail meetings with clients.
• Maintain an active presence during events to oversee execution and resolve issues on site.

Financial Management and Administration

• Manage event billing, including deposits, payment schedules, gratuities, and post-event invoicing.
• Maintain accurate records of all contracts, deposits, payment status, and event documentation.
• Gather client feedback post-event and address service concerns promptly.
• Provide regular reporting on sales activity, pipeline health, and revenue performance to the Director of Weddings and Special Events.

Qualifications

• Minimum of three years of experience in catering sales, social event sales, or event management within a luxury hotel, resort, or high-end venue.
• Demonstrated track record of meeting or exceeding event revenue targets.
• Full-cycle event management experience: selling, planning, coordinating, and executing events from inquiry through completion.
• Strong knowledge of banquet operations, menu development, vendor coordination, and event logistics.
• Proficiency with CRM, sales, and event management systems (Delphi, Salesforce for Hospitality, or comparable platforms).
• Excellent written and verbal communication skills with the polish and client-management ability expected in a luxury environment.
• Strong organizational skills and the ability to manage a high volume of concurrent events at different stages.
• Demonstrated discretion and professionalism in handling confidential client, financial, and event information.
• Bachelor's degree in Hospitality Management, Business, Marketing, or a related field preferred.

• Prolonged periods of sitting at a desk and working on a computer during sales, planning, and administrative work.
• Ability to stand and walk for extended periods during site tours, event setup, and live event execution.
• Ability to move between BHC venues and properties as events require.
• Ability to lift and carry event materials, signage, or supplies up to 25 pounds.
• Ability to work outdoors in varying weather conditions during outdoor events, venue walkthroughs, and setup at properties including American Gardens and Credit One Stadium.
• Ability to navigate stairs and multi-level event spaces regularly throughout the workday.
• Ability to work a flexible schedule, including evenings, weekends, and holidays, based on the event calendar.
