Front Desk Receptionist

Position Summary The Front Desk Receptionist supports patient‑centered care by collecting important data, reviewing patients’ insurance status, and providing first‑line customer service to ensure patients have appropriate access to our full range of quality medical, dental, mental, and behavioral health services with competence and compassion. The role also involves processing patient registrations, sending patient reminder calls, posting payments, scrubbing and completing billing batches daily, and maintaining effective communication about billing matters with health‑center staff and billing staff, including management. Essential Responsibilities Greet patients and visitors, answer questions, and provide assistance and directions as needed. Perform intake activities and update records, including processing and maintaining client files, daily chart preparation, and file purging. Use the EHR system to schedule new and follow‑up appointments for patients. Provide general administrative support (typing, filing, etc.) to the supervisor and department. Maintain a welcoming and quiet office and lobby appearance on a daily basis. Handle mail and fax service for all departments. Perform opening and/or closing duties. Process billing fees and payments. Travel when necessary to support operational needs. Complete other assigned duties as required. Qualifications Health Center experience preferred. High School Diploma or equivalent required; some college preferred. One (1) year experience as an administrative assistant or an equivalent combination of education and experience sufficient to perform the essential duties. Experience with billing and insurance preferred. Knowledge of medical terminology. Strong administrative skills with attention to detail. Proficiency with standard office equipment, including phone, fax, and copier. Computer literacy in Microsoft Word, Excel, PowerPoint, Outlook, and database software. Team player and service oriented with excellent interpersonal skills. Current CPR or CPR/AED certification. Excellent customer service experience, active listening, problem‑solving, and composure in emotional or stressful situations. Clear and concise verbal and written communication skills with a high level of listening abilities. Commitment to servicing underserved populations with sensitivity to a variety of cultural, economic, and health backgrounds. Fluency in additional languages preferred. Commitment to HIPAA confidentiality and adherence to professional ethics. Adherence to infection control procedures, including temperature monitoring, hand washing, symptom self‑monitoring, masking, and social distancing. Employees must frequently sit, use hands and arms to reach, stand, walk, and reach with hands and arms. Occasionally lifting or moving up to 20 pounds. Required vision includes close and distance vision with the ability to adjust focus. Hearing and speech are necessary for communication in person and over the phone. The environment is usually quiet. Employees may encounter individuals and families in crisis, including those who are ill, using substances, or otherwise disengaged. They may experience unpleasant sensory demands. Exposure to bodily fluids (blood, urine) and hazardous chemicals is possible.
