Job Summary:

In this role, you will support daily operations by managing backorder requests, responding to sales team inquiries, maintaining reports, and ensuring timely communication across departments. This position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

• Manage and track backorder requests from receipt through resolution.

• Coordinate with production, planning, purchasing, shipping, and customer service teams to provide accurate order status updates.

• Prepare, maintain, and distribute operational reports as requested by management.

• Respond promptly and professionally to a high volume of emails from sales representatives, vendors, and internal team members.

• Serve as a primary point of contact for requests and inquiries from the sales team.

• Research and resolve issues related to orders, inventory, backorders, and shipments.

• Monitor open orders and communicate delays, changes, and expected delivery dates.

• Assist with data entry, order maintenance, and record accuracy within company systems.

• Generate reports and review data to identify trends, issues, and opportunities for improvement.

• Work closely with cross-functional teams to support customer expectations and operational needs.

• Maintain organized electronic and paper records related to orders, communications, and reporting.

• Support operational projects and continuous improvement initiatives.

• Assist with meeting preparation, document creation, and follow-up activities as needed.

• Handle confidential information appropriately.

• Perform other duties and special projects as assigned by the Director of Operations.

Qualifications:

• Previous experience in operations support, order management, administrative support, or a manufacturing environment is preferred.

• Strong written and verbal communication skills.

• Excellent organizational and time management abilities.

• Ability to manage multiple tasks and changing priorities with minimal supervision.

• Strong problem-solving and critical-thinking skills.

• Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.

• Experience with ERP, MRP, or inventory management systems is preferred.

• Strong attention to detail and accuracy.

• Ability to work effectively in a fast-paced environment and meet deadlines.

• Customer-focused mindset with strong follow-through and a team-oriented attitude.

• Willingness to work flexible hours, including overtime, if required.
