Experience within refinery, manufacturing, energy, utilities, transportation, or other industrial environments is highly desirable.Key ResponsibilitiesPrepare procurement-related documents, including RFQs, RFPs, purchase orders, contract amendments, and vendor solicitationsCoordinate procurement activities to ensure compliance with company policies and proceduresSource materials, equipment, supplies, and subcontracted services through supplier quotations and competitive purchasing practicesEvaluate vendors, negotiate pricing and delivery terms, and issue purchase ordersMonitor supplier performance and expedite orders to support project schedules and operational requirementsCoordinate shipping, receiving, freight, inventory movement, and logistics activitiesReview supplier invoices, receiving documentation, freight charges, and purchase order complianceResolve billing discrepancies with vendors, project teams, and accounting personnelMaintain relationships with contractors, vendors, suppliers, freight providers, and service providersVerify vendor qualifications, licenses, permits, insurance requirements, and certificationsMaintain procurement records, contracts, supplier files, bid documentation, and related reportingServe as a key administrator and internal resource for the company's Contract Lifecycle Management (CLM) systemMonitor procurement costs, supplier performance, delivery schedules, and contract complianceIdentify opportunities for cost savings, process improvements, and operational efficienciesCollaborate with project managers, engineers, operations personnel, warehouse staff, finance, and accounting teamsSupport contract lifecycle management initiatives, workflow development, data migration activities, and user adoption effortsProvide administrative support on special projects and perform other duties as assignedQualificationsRequired QualificationsMinimum five years of experience in procurement, purchasing, contract administration, supply chain, or related functionsExperience managing multiple projects and competing prioritiesKnowledge of procurement best practices, purchasing procedures, contract administration, and supply chain managementStrong negotiation and supplier relationship management skillsExperience reviewing purchase orders, receiving documentation, and vendor invoicesStrong organizational and analytical abilitiesExperience coordinating logistics, freight, shipping, and receiving activitiesProficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPointAbility to maintain confidentiality and exercise sound judgmentStrong written and verbal communication skillsAbility to work independently while contributing effectively within a team environmentValid driver's license with a satisfactory driving recordPreferred QualificationsExperience in fuel, energy, utilities, transportation, manufacturing, refinery, or other industrial environmentsExperience with contract lifecycle management software or contract administration systemsExperience with inventory management and logistics coordinationStrong background in vendor management and strategic sourcingRole DetailsSchedule: Full-time, exempt position – hybrid – 4/10’s scheduleWork Environment: Fast-paced professional environment supporting operational and project-related procurement activitiesTravel: Local travel may be required to support operations, vendors, project sites, and business needsAdditional RequirementsAbility to successfully pass a background investigation and drug screeningAbility to obtain a Transportation Worker Identification Credential (TWIC) within sixty days of hireCommitment to workplace safety, compliance, and professional integrityWillingness to devote the time necessary to meet project and operational deadlinesAbility to adapt to changing priorities and business needsCompensationCompensation is determined individually based on the experience, qualifications, and expertise each candidate brings to the role.Procurement Specialist: $85,000 - $105,000 annuallyWhile the position is being advertised as a Procurement Specialist, final compensation will be determined based on the selected candidate's qualifications, experience, demonstrated capabilities, and overall alignment with the role.This range is not a guarantee of a specific salary.
