Scheduling Coordinator

Westerwood is a premier senior living community and proud 5-star facility seeking a Scheduling Coordinator to keep staff schedules current, arrange coverage when plans change, and coordinate resident medical appointments. This role works closely with nursing leadership and participates in an on-call rotation for urgent staffing needs outside scheduled hours. This position is full-time and is regularly scheduled during business hours, Monday-Friday.

Job Duties

• Create and maintain staffing schedules based on coverage needs, census, and budget guidelines.
• Coordinate coverage for call-offs, PTO, leaves, and open shifts; communicate schedule changes promptly.
• Participate in the on-call rotation, respond to urgent staffing issues, and escalate unresolved coverage needs to nursing leadership.
• Track attendance and timekeeping information and assist with payroll review.
• Arrange resident medical appointments, transportation, and follow-up logistics; communicate details to the care team and families as appropriate.
• Support care team communication and refer clinical matters to licensed nursing staff.

Qualifications

• A current, active Ohio LPN license or certified as a nationally recognized Medical Assistant (CMA, RMA, CCMA, or equivalent).
• At least three years of healthcare experience.
• Strong organization, communication, customer service, and problem-solving skills.
• Proficiency with Microsoft Office and the ability to learn scheduling and payroll systems.
• Scheduling, staffing coordination, or administrative experience is preferred; familiarity with senior living and medical terminology is helpful.
• Availability to participate in the on-call rotation.
• LPNs may be assigned nursing duties within their Ohio scope of practice.
