Clinic/Practice Assistant, Family Medicine

Job Summary Site: Mass General Brigham Medical Group Western Massachusetts, Inc. The Medical Group delivers high‑quality, low‑cost ambulatory care across Massachusetts, New Hampshire, and Maine. The Hadley Family Medicine practice, located at 234 Russell Street, Suite 7, provides comprehensive primary care for all ages. We are seeking a Part‑time, 24‑hour Clinic/Practice Assistant to support the practice onsite Monday, Friday from 8:00 am‑4:30 pm and a third day on either Wednesday or Thursday. Essential Functions Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Make and manage patient appointments, maintain appointment records. Greet and assist patients. Answer telephones, assist callers with routine inquiries, and schedule appointments. File materials in patient folders, print appointment schedules. Process patient billing forms and scan documents to the patient medical record/LMR. Call for patient medical records and laboratory test results. Open and distribute unit mail or faxes. Type forms, records, schedules, memos, etc., as directed. May be required to accept co‑payments. Handle, screen and/or take messages related to prior authorizations, provider questions, prescription refills, and test results. Act as a "Super User" for scheduling, registration and billing systems. Provide assistance and training to others in these areas. May perform more complex or specialized functions (e.g., surgical scheduling, schedule changes/blocking) at a more advanced competency level. Qualifications Education: High School Diploma or Equivalent required. No experience in lieu of a degree; no. Office experience: 2–3 years required. Licenses and Credentials: Certified Medical Administrative Assistant (CMAA) – preferred.
